What You'll Do Own the Filing & Service Process Prepare and e-file court documents accurately and timely, in full compliance with jurisdictional rules. Serve pleadings and discovery materials precisely and on schedule. Maintain Pristine Case Files Ensure digital and physical case files are always current, complete, and properly organized, including formatting, labeling, and Bates stamping. Drive the Litigation Calendar Track and update all case deadlines. Proactively alert attorneys and paralegals of upcoming obligations—no surprises allowed. Schedule and Confirm with Precision Coordinate depositions, mediations, client meetings, and internal check-ins—handling all logistics from start to finish. Communicate with Clients Deliver clear, courteous, and professional updates to clients. Confirm appointments and manage regular communication touchpoints. Support Team Execution Track task lists, manage intake documents, and monitor file progress across all stages—without waiting to be asked. What You Won't Do Draft substantive legal documents or provide legal advice to clients Perform tasks that require legal analysis or strategic decision-making Wait for direction before addressing administrative issues Allow deadlines to approach without appropriate team notification Ignore potential process improvements that could benefit the pod Qualifications Who Are You? High School Diploma or equivalent required Legal admin or case management experience preferred Familiarity with e-filing systems, calendaring software, and HubSpot Proactive approach to identifying and solving administrative challenges Ability to manage shifting priorities while maintaining attention to detail Tech-savvy with Microsoft 365, SharePoint, and case management systems; HubSpot experience is a bonus.
