Full-Time | Service Department

South Trail Kia is looking for a highly organized, customer-focused Warranty Administrator & Service Cashier to join our Service Department. Reporting to the Service Manager, this role is responsible for accurately processing warranty claims, supporting the service team, handling customer payments, and delivering an exceptional customer experience.

What You’ll Do

Warranty Administration

• Accurately code, review, and submit Kia warranty claims in accordance with manufacturer guidelines.
• Monitor warranty claims and ensure they are submitted and paid in a timely manner.
• Review repair orders, technician notes, punch times, signatures, and warranty requirements for accuracy and compliance.
• Work with technicians and service advisors to maximize eligible warranty claims.
• Monitor claim status and resolve outstanding or aging claims.
• Ensure applicable rental and recall processes are completed and claimed correctly.
• Maintain accurate warranty documentation and records.
• Obtain and maintain required Kia University certification.

Service Cashier & Customer Support

• Welcome customers and provide friendly, professional service.
• Answer inbound calls and complete outbound customer calls as assigned.
• Process customer payments, including cash, and maintain the daily cash float.
• Review work orders with customers at checkout.
• Complete daily cash and accounting paperwork.
• Schedule customers for their next recommended service appointment.
• Assist with Service Appointment and SOR bookings as required.
• Perform VIN recall checks and reserve required parts when appointments are booked.

• Excellent communication and people skills.
• Strong customer service skills and a positive, professional attitude.
• Excellent organization and attention to detail.
• Understanding of automotive service, maintenance, and repair processes.
• Strong computer and typing skills with the ability to learn dealership systems.
• Ability to work accurately in a fast-paced environment.
• Experience with warranty administration, automotive service, or dealership operations is an asset.
• PBS experience an asset.
• Strong cash-handling and administrative skills.

What Success Looks Like

The successful candidate will help ensure warranty claims are accurately coded, submitted, and closed on time, with minimal aging. You’ll work closely with technicians, service advisors, and management to maintain warranty compliance while ensuring customers receive professional, efficient service.

Schedule

• Tuesday–Friday: 8:00 AM – 5:00 PM
• Saturdays: 8:00 AM – 3:00 PM
• Service and training meetings as scheduled
