Description JOB SUMMARY This position will be directed and supervised by a Department Head or General Manager. The primary responsibilities for this position will be focused on routine operational tasks and supervising others in their operational assignments. Other duties may be assigned as required by the business and /or training for career advancement. The Catering Coordinator is responsible for soliciting local companies and organizations for catering functions, providing catering/banquet services to groups with meeting room and catering needs, and overseeing the servicing of clients. The Catering Coordinator is also responsible for meeting or exceeding catering revenues as stated in budget. This is a training position designed to develop individuals into Sales and Catering Managers. DUTIES & FUNCTIONS Essential: Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner Maintain regular attendance in compliance with Avion Hospitality standards, as required by scheduling which will vary according to the needs of the hotel Maintain high standards of personal appearance and grooming, which include compliance with the Avion Hospitality dress code and wearing nametag when working (per brand standards) Comply at all times with Avion Hospitality standards and regulations to encourage safe and efficient hotel operations Finalize all banquet/meeting details for sales bookings Maintain and solicit sales files for repeat catering business Maintain communication between all departments regarding customer requirements for catering and meeting business Complete BEOs for all meeting room functions/catering functions according to hotel SOPs Assist Food & Beverage Manager when necessary in supervision of banquet personnel to ensure group/catering functions are coordinated in a timely fashion Ensure that the Daily Event Listing report and BEO packets are generated on a timely basis and ensure accuracy Maintain regular compliance of meeting set call goals Attend and participate in daily/weekly sales meeting Attend weekly BEO/Operations meetings Attend monthly all-employee meetings and any other functions required by management Be familiar with all Avion Hospitality sales policies and house rules Ensure employees are at all times, attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees. Meet and greet onsite contacts Marginal: React to negative trends in the market place by implementing blitzes or catering promotions Review House Accounts daily to check for accuracy Any other duties as required Requirements QUALIFICATION STANDARDS Education & Experience: College course work in related field helpful. Experience in a hotel or a related field preferred. High School diploma or equivalent required. Must be proficient with Windows operating systems Physical requirements: Long hours sometimes required Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Mental requirements: Must be able to convey information and ideas clearly Must be able to evaluate and select among alternative courses of action quickly and accurately Must work well in stressful, high-pressure situation Must maintain composure and objectivity under pressure Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary • Must have the ability to assimilate complex information, data, etc. from disparate sources and consider, adjust or modify to meet the constraints of the particular need Must be effective at listening to, understanding, clarifying and resolving the concerns and issues raised by coworkers and guests Must be able to work with and understand financial information and data, and basic arithmetic functions
