Join the Catering & Events team at one of the largest, most beautiful, and top private country clubs in North America, Desert Mountain Club, as an Administrative Assistant!
In this role, you will be responsible for assisting the Director of Catering and the Catering & Events Managers in delivering a world-class experience to our members and guests for events through effective and proactive communication and coordination with members and staff for all catering and events
The ideal candidate will radiate energy, genuine friendliness. Must have a minimum of 3 years experience in office skills, such as filing, computers, and ordering. At least 1 year of administrative experience in F&B, Catering, hotel, private club and/or resort.

Responsibilities
  • Generate Banquet Event Orders (BEOs) and support weekly distribution of BEOs and changes.
  • For the BEO Packet: Collect and review upcoming Banquet Event Orders for a two-week span, using Adobe, compile the packet with Equipment Request Forms, Banquet Event Orders, and Floor plans.
  • Distribute packet to team via e-mail and print.
  • Answer phones maintain callback logs and basic knowledge to inform members in the absence of any teammates in the Catering Department.
  • Maintain Catering calendar for all Club activities (i.e., catered events, sport events, social clubs, golf course closings, etc.) in a timely manner to avoid double booking.
  • Maintain supplies and materials for the catering office operation and order monthly.
  • Keep records of COIs and W-9 forms for vendors.
  • Log invoices submitted to accounting.
  • Submit Catering Bullet Points in the monthly Senior Leadership packet.
  • Assist Catering & Events Manager and Coordinator as needed.
  • Other duties as assigned by Catering Leadership Team.
