POSITION OVERVIEW The Catering Manager, Events is responsible for the planning, coordination, and on-site management of all catered special events hosted at any of The Corporation of Massey Hall and Roy Thomson Hall’s venues, including Massey Hall, Roy Thomson Hall, TD Music Hall and ancillary spaces. This role supports receptions, corporate events, graduations, cultural performances, and institutional clients such as the Toronto Symphony Orchestra. As a member of the Food & Beverage team reporting to the Chief Operations Officer, this position works in close partnership with the Event Management Team and Bookings Team as a peer collaborator. While the Event Management Team serves as the primary client contact, the Catering Manager acts as the catering and beverage subject matter expert, providing specialized guidance, operational leadership, and day-of execution support. This role ensures events are delivered to venue standards, service expectations are upheld, safety and regulatory requirements are met, and financial settlements are completed accurately and on time. This role does not support concessions or food service for concerts or ticketed events, which are managed separately. Key Responsibilities Service Excellence & Professional Collaboration * Deliver a consistently high level of hospitality and professionalism in all interactions with clients, caterers, vendors, and internal stakeholders. * Represent the venue and Food & Beverage team with discretion, responsiveness, and a solutions-oriented approach. * Foster collaborative, service-focused working relationships across departments to support seamless event execution. Event Management Team Collaboration * Work alongside the Event Management Team as a peer partner in the planning and execution of special events. * Serve as the catering and beverage subject matter expert, advising Event Managers on menus, bar service, staffing models, logistics, timelines, and feasibility. * Support Event Management by translating event objectives into executable catering and beverage plans. * Ensure catering-related details are accurately reflected in event documentation, estimates, and operational plans. * Provide on-site catering leadership in coordination with Event Managers to ensure a unified client experience. Client-Facing Support * Support Event Managers during client meetings and planning discussions, providing expert catering and beverage guidance. * Maintain a professional, service-driven presence with clients, reinforcing confidence in venue operations. * Address catering-related questions or concerns promptly and diplomatically. Catering & Vendor Management * Coordinate with approved external caterers to ensure compliance with venue policies, service standards, and timelines. * Act as the primary liaison between caterers, rental vendors, and internal departments for catering-related needs. * Oversee catering load-ins, service flow, and load-outs to venue standards. Alcohol Program Management * Purchase, manage, and control alcohol inventory for catered special events in accordance with licensing requirements. * Collaborate with Event Management and external caterers to develop drink menus aligned with event goals, budgets, and venue standards. * Ensure responsible alcohol service and compliance with liquor regulations. * Maintain valid Smart Serve certification and ensure all bar staff meet certification requirements. Rentals, Equipment & Staffing Coordination * Arrange and confirm catering-related rentals including furniture, linens, bar equipment, and specialty items. * Coordinate and approve allowable cooking and food-service equipment rentals such as warming ovens, hot boxes, induction burners, refrigeration, and other permitted appliances, in accordance with venue safety policies. * Review and approve proposed equipment lists to ensure compatibility with venue infrastructure, fire code, and electrical capacity. * Coordinate staffing requirements related to catering and bar service to support high-quality guest experiences. Facilities, Kitchens & Equipment Coordination * Work closely with Building Services and Facilities teams to support the safe and effective use of in-house kitchens and catering infrastructure. * Coordinate maintenance, inspections, and readiness of in-house catering equipment, warming units, bar equipment, and kitchen spaces. * Ensure kitchens and catering areas are prepared, functional, and compliant prior to events. * Communicate equipment issues, maintenance needs, or operational constraints proactively to Facilities and Building Operations. * Support long-term planning related to catering infrastructure, equipment upgrades, and operational improvements. Day-of Event Catering Leadership * Act as the on-site catering and beverage lead for catered special events. * Oversee catering and bar setup, service execution, and breakdown. * Partner with Event Managers to resolve service or operational issues in real time. * Maintain Food & Beverage service standards throughout the event lifecycle. Financial Management & Accountability * Prepare accurate catering-related estimates including catering fees, landmark fees, alcohol costs, rentals, labor, and ancillary charges. * Track catering-related revenues and expenses with a high degree of accuracy. * Complete timely post-event catering settlements, including reconciliation of alcohol usage and final billing. * Maintain documentation to support invoicing, audits, and internal reporting. * Create, maintain corporate catering budgets in collaboration with the Chief Operations Officer. Event Safety, Risk & Compliance * Apply sound judgment related to event safety, crowd management, fire code compliance, and occupancy limits. * Review catering layouts, bar placements, and cooking equipment plans to ensure safe egress, accessibility, and regulatory compliance. * Ensure caterers, vendors, and staff comply with health regulations, liquor licensing, insurance requirements, and venue policies. * Support incident reporting and emergency response protocols. Qualifications * 3–5 years of experience in event management, catering coordination, or hospitality operations (venue or cultural institution experience preferred). * Proven ability to collaborate cross-functionally without direct reporting authority. * Strong client service orientation and professional communication skills. * Previous experience with point of sale systems considered an asset * Demonstrated experience managing catering and alcohol service operations. * Valid Smart Serve certification (required). * Strong financial acumen with experience producing accurate estimates and timely settlements. * Knowledge of event safety, fire code, and liquor regulations and food safety. * Ability to manage multiple events simultaneously. * Availability to work evenings, weekends, and holidays as required.
