JOB OVERVIEW

The Catering Coordinator plays a vital role in ensuring the smooth execution of catering events from start to finish. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be responsible for coordinating catering orders, managing client relationships, and ensuring that all aspects of the catering service meet high standards of quality and customer satisfaction.

Responsibilities
  • Communicate with clients: respond to emails/calls, schedule tastings, prepare and send proposals.
  • Manage payments and invoices: process payments, reconcile accounts, and send reminders.
  • Handle office tasks: update catering worksheets, print labels/menus, order rentals, and check mail daily.
  • Support events: schedule banquet staff, assist with packing, and help set up full-service events.
  • Coordinate catering orders and ensure timely delivery and setup at various locations.
  • Communicate effectively with clients to understand their needs and preferences for events.
  • Manage schedules and calendars for catering events, ensuring all details are confirmed in advance.
  • Maintain organized records of catering orders, client communications, and event details through data entry and filing systems.
  • Assist in menu planning and selection based on client requirements while adhering to dietary restrictions when necessary.

  • Qualifications
  • Experience in catering, hospitality, or event management preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Familiarity with payment processing and reconciliation.
  • Ability to work evenings/weekends for full-service events as needed.
  • Bilingual abilities are a plus, enhancing communication with diverse clientele.
  • Experience with clerical duties such as data entry, filing, calendar management, and bookkeeping is desirable.
  • Strong phone etiquette and interpersonal communication skills are essential for interacting with clients and vendors.
