Summary of Position The CBO Administrator, in conjunction with the A/R Managers, is responsible for the daily operation of the center. The Administrator capitalizes on new business opportunities through strategic planning and new practices that choose the CBO for all their billing needs. The CBO Administrator ensures the delivery of efficient and effective care through human resources management and the implementation of administrative systems and policy compliance. The Administrator successfully promotes the organization’s mission and vision. Nature and Scope The CBO Administrator is responsible for management of the center and the coordination of all departments that employ either department managers, supervisors or team leaders. The Administrator will frequently interface with network leadership, leadership members of the Physician offices, and others to maximize communication and awareness and achieve positive results for their center. Principle Duties and Responsibilities 1. Performance Management Works with department managers and team leaders to coordinate staffing and quality work outcomes Interviews and hires staff According to policy and working with HR, will place staff in corrective action as needed and terminate employment as necessary Maintains office personnel files and conducts performance evaluations as directed Coaches, counsels and motivates staff Ensures all managers, and billing staff are provided training on the EPIC billing system, as well as provide follow up training to answer and further questions 2. Daily Operations  Oversees daily operations and delegates work as appropriate Assists in developing and implementing short and long term work plans and objectives Maintains awareness of current trends and issues in the health care field as they pertain to A/R Provides and promotes an environment which ensures quality work based on established standards and directives Implements and assists staff with new policy and procedure awareness and compliance Manages A/R and A/P for the center as required Assists staff with day to day operations when necessary Develops and provides reports to the CFO/VP, Director of A/R Services, and Director of Operations as requested 3. Financial Management  Prepares the annual budget and manages the center operations accordingly Ensures all billing is coded, and billed timely, as well as accurately per the payer guidelines Minimizing preventable write off’s for timely and past timely filing, that results in a loss of revenue 4. Knowledge Demonstrates knowledge of principles and practices of employee development sufficient to ensure organizational productivity Demonstrates knowledge of computer programs and advanced applications 5. Skills Exercises a high degree of initiative, judgment, discretion and decisiveness to achieve the center’s mission Analyzes situations accurately and takes effective and appropriate action Establishes and maintains effective working relationships with employees, policy-making bodies, third party payers, patients and the public Organizes and delegates work to effectively achieve goals and objectives 6. Quality Improvement Assures the implementation of Quality Initiatives, regulatory compliance programs and process improvement projects, including but not limited to: Insurance carrier audits Compliance with regulatory agencies Internal audits performed on all billing functions, and results shared with staff 7. Communications Communicates with and provides appropriate written documentation to CFO/VP, Director of A/R Services, Directors of Operations, physicians, staff Meetings as requested with physician(s) to discuss the status of the practice billing, and outstanding A/R Schedules and conducts regular meetings with staff and/or managers and team leaders to provide direction for changes and updates 8. Leadership/Teamwork Encourages staff to perform to their potential Motivates and inspires others by setting a positive example Solicits and/or provides innovative ideas for practice effectiveness Demonstrates good judgment and solicits guidance from corporate staff when necessary Shows flexibility, availability, visibility and willingness to incorporate change as necessary Actively participates in network activities 9. Customer Service Promotes and maintains consistent and effective service in the office Serves as a role model by exhibiting exemplary customer relations behaviors Enforces customer service and telephone etiquette standards Develops an environment for staff to act as patient and physician advocates Qualifications Bachelor’s degree in Health Care Administration or related area and/or Associates degree with 10+ years’ experience in an ambulatory health care facility where progressively responsible practice management or equivalent has been successfully demonstrated Excellent Written and Verbal Communication Skills required Demonstrated ability to build strong and inclusive teams; and collaborate with various departments is essential for this role 3 years experience working with EPIC required 3 years experience facilitating meetings and presenting data to multi-discipline groups required 3 years progressive experience in A/R services, ICD-9/10 and CPT 4 skills required 2 years progressive and demonstrated leadership experience, preferred
