Description SUMMARY The Cemetery Coordinator will create and sustain an environment of exceptional service to the families and communities served through the Cemetery. ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties and functions, as outlined herein, are intended to be representative of the type of tasks performed within this classification. They are not listed in any order of importance. The omission of specific statements of the duties or functions does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. Cemetery Sales/Contracts: · Receives and responds to customer requests for plot sales. · Ensures prospective customers understand the cemetery is open to all Catholics regardless of parish affiliation. · Explains the teachings of the Church with regard to end-of-life issues and the prohibitions associated with the handling of cremated remains. · Provides pricing information and burial/inurnment options and pricing. · Schedules meetings with prospective buyers at the cemetery for plot selection. · Provides at time-of need purchasers a copy of the cemetery rules and contact information for local funeral homes, monument companies and florists; provides pre-need customers with a mailed contract with cemetery rules sent by the cemetery administrator. · Updates the email listing of plot purchases and provides contact information to the Cemetery Administrator on the date of sale, ensuring all necessary parties are kept informed. · Processes all cemetery donations and plot payments. Provides hard copies to the Cemetery Administrator. Cemetery Deeds: · Receives and reviews/makes edits to all pre-need contracts from the Cemetery Administrator and obtains necessary signatures and notarization- receives and reviews/makes edits to all sales invoices from the Cemetery Administrator; obtains necessary signatures and notarization; return completed invoices and contracts to the Cemetery Administrator for mailing. Burials and Plot Locating and Marking: · Receives email notification from the Director of Liturgy for all pending funerals and burials. · For full body burials notify Atlas Vault company by text message of the name, date, and plot number for the upcoming burial· marks full body burial plots with white spray paint and sends a photograph by text to Atlas vault company; coordinates with Atlas vault company to ascertain the date for the excavation and vault emplacement; Cemetery Coordinator presence for the excavation is optional. · Coordinates with the parish contractor for the date and time of the excavation upon receipt of a funeral notification; normally all cremation burials are performed by the parish contractor. · Performs probes and marks the location of the excavation. · Coordinates with the funeral home or family to ensure the urn will fit in the vault. All cremation burials must be made using a concrete vault; All cremation burials will have a tent, grass mat board with black skirting table, and an Aspersorium with Holy Water. Headstones · Receives requests for headstone placement from funeral homes/monument companies. · Verifies in the PDS the location of the grave and plot number; verifies with the hard copy deed on file. · Ensures that if the plot has not been paid for in full, and there are no remaining burials for the family the headstone will NOT be installed until the plot is paid in full. · Marks individual plots for headstone setting using white spray paint and forming a letter "T" with the vertical axis denoting where the headstone will be centered and the horizontal access the location for the back of the headstone base. · Verifies all plot locations by measuring before marking. · Will handle coordination of removing and replacing cemetery columbarium plaques. Cemetery Events Committee · Forms a Cemetery Event Committee consisting of the Cemetery Coordinator, cemetery Administrator, Maintenance Chief, Director of Operations and Finance, Director of Liturgy, and Social Activities Coordinator. · Conducts planning meetings and establish milestones for All Souls Day and Memorial Day cemetery events. · For All Souls Day prepares a listing of all decedents for each year. Year is defined as the period of 1 Nov to 31 Oct. · Prepares a mailing to the next-of-kin for all those memorialized in the preceding year. · Prepares an All Souls Day pamphlet for use in the All Souls Day Mass program. · Coordinates with the Director of Liturgy for the applicable portions of the Mass to be included and ensures there is a listing of the deceased to be memorialized at the end of the Pamphlet. · Travels to various locations, by POV, within the diocese for the purpose of attendance at cemetery meetings. Additional Responsibilities · Complies with Federal, State, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed action. · Performs additional projects as required by the pastor. · Attends all diocesan meetings, as necessary, representing the pastor. · Consults with and advises pastor on business and administrative matters that affect the parish. · Maintains good working relationships, effective communications between school community, various groups and outside authorities. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requirements EDUCATION AND EXPERIENCE Bachelor's Degree in Business Administration or related preferred and/or equivalent experience. 5 to 8 years of business experience in a related field. Working knowledge of Microsoft Word and Excel. Experience with PDS or QuickBooks software a plus. Must be knowledgeable and demonstrate proficiency with Catholic Church approved end-of-life teachings and burial practices and procedures. Use of Privately Owned Vehicle (POV) is required for transportation between the cemetery and church office. Applicants must have a valid drivers License and insurance as required and at levels stipulated by the Diocese of Orlando. WORKING CONDITIONS This person will need to be available in the evening and weekends, as needed. Must be willing to work in conditions of stress and function well under pressure. PHYSICAL REQUIREMENTS Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (10 pounds). Tasks may involve extended periods of time at a keyboard or workstation. The ability to sit and stand for long periods of time. Must be able to reach, grasp, feel, and see up close and from afar. Must be able to use basic office computer hardware and peripherals, with or without reasonable accommodation. Must be able to communicate verbally and in written form.
