LOCATION: HOUGANG & WOODLANDS

  • Support Head of Ops to oversee the operations as well as general administrative matters of the Care Home.
  • Ensure that all statutory requirements relating to the management and operation of the care home are complied with.
  • Assist in monitoring the annual plan and budget for Operations. Ensures optimum utilisation and allocation of resources.
  • Ensure Care Home resident admissions meet stipulated monthly targets and all MOH service level agreements
  • Ensure proper maintenance of administrative records, office equipment and stationery.
  • Ensure that the facilities and environment meet the needs of the residents and staff, including safety and security needs.
  • Coordinate with MOHH for the development needs of the Vanguard Care Homes.
  • Work closely with the CEO, Chief Operating Officer, Director Care and Rehabilitation Services and Senior / Nurse Manager for the purposes of pre-ops licensing and setting up of new homes. This includes managing the overall F&E budget and leading the ops team to provide administrative support to procure various equipment and fixtures to operationalize the nursing home.
  • Put in place operational systems, processes, policies and emergency plans in support of organizations mission.
  • Oversee risk assessment of operations, food safety, laundry operations, security, workplace and fire-safety for the Care Home.
  • Ensure ENHS compliance for care home licensing.
  • Manage outsourced vendors to ensure service levels are fully compliant with pre-determined service level agreements.
  • Develop and manage KPIs for Operations. Compile operational data, statistics and analysis.
  • Support Community Engagement / Volunteer activities managed by the Rehab and Community Engagement teams to ensure that programmes are executed efficiently and effectively to the satisfaction of the residents and staff.
  • Ensure quality audits are planned and conducted periodically.
  • Support infrastructure, facility management and security services to the Senior Care Centre (as appropriate)
  • Function as co-Safe Management Officer (with the Lead NM) to plan, implement, supervise, audit safe management practices in accordance to MOH/MOM pandemic management requirements
  • Function as Assistant Data Protection Officer to plan, implement and audit data protection measures in accordance to prevailing national and Vanguard data protection policies and requirements.
  • Perform adhoc duties as necessary.

EDUCATIONAL REQUIREMENTS:

  • Degree in Business Administration, Engineering, Facility/Project Management, Healthcare Management strongly preferred. Candidates with Diploma and good results can be considered if previously equipped with relevant operations experience performing similar functions
  • At least 6 to 8 years of experience
  • Operation SOPs and review them regularly according to the needs of the centre and the requirements of MOH/AIC
  • Work with relevant agencies/authorities to admit and refer (if needed) clients and ensuresmooth transition of clients to other services post discharge.
  • clients with dementiaDirect, guide and participate in the orientation and training of new staff and provide ongoingtraining and monitoring of care staff in the area of provision of care to day care clients and
  • Take charge of daily operations and care provisions of clients, supervise and deploy staff toensure operations of the VSC is safe and effective
  • Take charge of incidents in the centre related to staff, clients and volunteers to ensure thatthe incident is resolved, reported and followed-up
  • Facilitate on-going support and education to the clients, caregiver and family
  • Facilitate activities that contribute towards the improvement of the quality of client care andsupport care integration
  • Carry out other responsibilities and duties as assigned from time to time
