OVERVIEW

The Change Management Consultant, reporting to the Director, Human Resources & Organizational Development and Deputy Chief Financial Officer, will support enterprise technology transformation initiatives within a hospital environment, beginning with the successful implementation of Workday HRIS and SAP Finance ERP upgrade. For the Workday implementation project this role will work alongside a part-time Change Management Specialist to ensure the hospital’s staff adopt and integrate the new Workday system seamlessly. The focus will be on managing the people side of change, from strategic planning to post-implementation support, helping drive user adoption, stakeholder engagement, and organizational readiness.
The ideal candidate will have significant experience in Workday HCM/payroll, SAP S/4HANA, or similar SaaS implementations, preferably in a healthcare setting, and a strong background in change management practices. This role provides an opportunity to collaborate with a hospital team, ensuring the adoption of new HRIS and SAP S4HANA tools to enhance operational efficiency. Subsequent to the implementation of the HRIS and SAP S/4HANA upgrade, there will be future opportunity to lead the change management of future enterprise-wide applications.

EDUCATION

  • Undergraduate degree in Business Administration, Industrial/ Organizational (IO) Psychology, Human Resources, Organizational Behaviour, Health Administration, Communications or the equivalent as evidenced by a combination of formal education/training/experience.
  • Masters degree preferred.

QUALIFICATIONS

  • System Implementation Experience: Minimum of 5+ years of hands-on experience with system implementations, such as Workday HCM/payroll, SAP S/4HANA, or similar SaaS, preferably within a healthcare or hospital setting.
  • Change Management Expertise: 2+ years in organizational change management, including developing and executing change management plans. Certification in Change Management (e.g., Prosci, CCMP) would be an asset but is not required.
  • Healthcare Experience: Previous experience working in a hospital or healthcare environment is highly preferred.
  • HR and Payroll Experience: High-level familiarity with HR and payroll business processes such as recruiting and talent management, time and attendance, benefits administration, absence management, compensation, worker data and reporting, and payroll processing.
  • Finance Experience: General understanding of financial processes and controls, including general ledger, accounts payable, accounts receivable, fixed assets, and financial reporting.
  • Communication Skills: Exceptional written and verbal communication and facilitation skills to effectively convey complex information to diverse hospital staff and stakeholders.
  • Training & Facilitation: Experience designing and delivering engaging training programs, both virtual and in-person, for diverse audiences.
  • Problem-Solving Skills: Ability to proactively address issues, adjust strategies, and ensure smooth user adoption.
  • Collaboration: Strong team player who can work alongside an internal CM Specialist, project team, leadership, and various hospital teams to achieve successful system adoption.

Responsibilities
  • Collaborative Change Management Strategy Development:
  • Work alongside the Change Management Specialist to develop and implement a comprehensive change management strategy.
  • Ensure that the change management plan addresses the specific needs and culture of the hospital environment while aligning with hospital goals.
  • Identify potential resistance points, proactively address concerns, and ensure the strategy fosters employee buy-in.
  • Stakeholder Engagement & Communication:
  • Collaborate with leadership, HR, Payroll, Finance IT, and other hospital departments to ensure alignment on change management goals and priorities.
  • Conduct stakeholder analyses, change impact assessments, and readiness assessments.
  • Assist in developing and leading communication efforts to keep hospital staff informed about the status of the Workday implementation and SAP S/4HANA Upgrade
  • Help craft and distribute communication materials, including email updates, town hall sessions, and intranet posts to engage staff throughout the process.
  • Deliver targeted communications and end-user materials.
  • In collaboration with the internal and vendor Change Management team members, build and support a champion network across key stakeholder departments (ex. HR and Finance) and operational units.
  • Build change leadership capacity by coaching leaders and managers to act as change agents.
  • Training and Support:
  • Work with the internal Change Management Specialist to develop training materials and programs tailored to different user groups within the hospital.
  • Facilitate and support training sessions (both virtual and in-person), ensuring staff are fully equipped to use the Workday HRIS system and SAP S/4HANA application effectively.
  • Develop user guides, FAQs, and other documentation to help hospital staff navigate the new system confidently.
  • Collaborate with internal leaders to drive adoption and address resistance.
  • Feedback and Monitoring:
  • Track the adoption of Workday HRIS and SAP S/4HANA application across hospital departments and help monitor the progress of training and system usage.
  • Collect feedback from employees and other stakeholders to identify areas where additional support or training may be needed.
  • Adjust the training, communication, and change management strategy as necessary to address any challenges or resistance points.
  • Post-Implementation Support:
  • Work with the internal CM Specialist to provide post-implementation support, ensuring that staff have access to ongoing assistance with any system-related issues.
  • Offer refresher training sessions and assist with any follow-up queries regarding the use of Workday and SAP S/4HANA
  • Ensure continuous improvement by collecting feedback and adapting processes for sustained system usage.
  • Reporting and Documentation:
  • Help document key milestones, feedback, and successes related to the Workday HRIS implementation and SAP S/4HANA Upgrade.
  • Provide regular status reports to hospital leadership, highlighting progress, challenges, and areas for improvement in the change management process.
  • Measure and report on change readiness, adoption metrics, and post-go-live success.
