General Description Reporting to the Senior Director of Chapter Expansion, with a dotted line to the Senior Director of Chapter Relations, the Program Coordinator is a member of the Blue Star Families Chapter Impact Team. This integral role is dedicated to fostering exceptional Customer Service throughout the Chapter Expansion project, ensuring that every interaction strengthens the relationships with Blue Star Families. The Program Coordinator will manage multiple projects for the Chapter Leadership team, including, but not limited to, tasks associated with the expansion of Blue Star Family Chapters. In addition to working independently on presentations and events, the Program Coordinator will support the Sr Director of Chapter Expansion with essential operational tasks critical to the success of Chapter Expansion. Key Job Functions: Anticipate needs, surface priorities, and proactively address pressing issues that require attention, enabling timely and informed decision-making. Foster relationships with local community organizations and partners to support program initiatives and enhance community engagement. Maintain Salesforce records as related to Chapter Expansion and National Chapter needs Assist with project management, tracking, and coordination, including working with the Senior Director to maintain a list of action items and delegated tasks Utilize project management technologies and tools to administer programs and manage local chapter operations (including, but not limited to, HIVE, Hive Brite, Salesforce, Google Workspace Suite, Zoom, etc). Develop schedules, project estimates, and resource plans that align with the organization’s goals, processes, and documentation. Set and monitor deadlines, ensure completion of deliverables, and alert the team of pending due dates and delinquencies. Help schedule team meetings to drive projects forward and provide status updates to program stakeholders. Support the recruitment and effective onboarding and management of volunteers, including retention and recognition activities. With the guidance of the SR Director of Chapter Expansion and the national team, manage and lead the execution of marketing and communications strategies, including social media, to elevate the chapter’s name in the community and attract and grow membership. Perform various administrative activities, including scheduling and meeting planning, document creation, communications, travel arrangements, minutes, presentations, and other logistical functions. Manage and execute chapter events some nights, weekends, and Federal Holidays. Coordinate materials and/or draft reports, emails, presentations, and other communications for use by the Chapter Leadership Team. Participate in strategic meeting and event planning in coordination with the Chapter Leadership Team. Maintain a professional and courteous demeanor when dealing with all stakeholders, both internal and external. Multi-task, understand priorities, and balance workload to ensure tasks are completed on time. Take on other responsibilities as determined by demand, expertise, and interest. Perform other duties as assigned. Required Experience, Skills & Background Minimum 2-4 years of relevant experience Independent self-starter with exceptional interpersonal and communication skills Knowledge of the military family experience Volunteer recruitment and management experience Experience working with community partner organizations Demonstrated comfort and proficiency in Salesforce, Canva, Microsoft Office Suite, and project management tools Excellent writing skills Ability to facilitate meetings and drive toward decision-making National travel as needed to support launch events (approx 20%) A “can-do” attitude Problem-Solving Skills Ability to work in a fast-paced environment More About Blue Star Families Blue Star Families empowers military and Veteran families to thrive by connecting them with their civilian neighbors — both people and organizations — to create strong communities of mutual support.
