About the Team & Business Line Join and lead a dynamic administration team and play a vital role in supporting Vilnius office operations, its employees, and the team itself. Working closely with both internal and external parties, this role leads the team to reflect the high-quality standards of the organization, ensuring that office facilities, employee community, internal stakeholders, vendors, and communication are fit for purpose and legally compliant. Your Role: Support and collaborate with Site Leadership to determine and prioritize site development activities. Organize and contribute to Site Management meetings. Regularly interface with global and matrix stakeholders to ensure implemented projects, processes, and policies remain aligned with Citco's guiding principles. Manage contracts and leases, vendor management, expense management, and budgeting. Supervise daily support operations and plan the most efficient administrative procedures, leading the administration team. Ensure that all office premises are suitable for business operations: cleanliness, maintenance, and a healthy workspace and environment. Organize and coordinate with Citco Facilities Management on office expansion projects, renovations, refurbishments, etc. Run and take part in various site-level communication projects and initiatives. Strengthen internal culture through a variety of communication and bottom-up change initiatives, and other projects (including organizing local events). Lead the employee engagement committee. Ensure policies and procedures are in line: studies, overtime, business travel, holidays, and other absences; mobile phones, sport allowance, office access, safety procedures, and BCP documentation. Manage absence, holiday, and sick leave, oversee overtime control, and prepare final timesheets for payroll team. About You: Strong communicator, master organizer, problem solver, process innovator, and day-to-day decision maker. Supportive, energetic, creative, and friendly, as well as accurate, flexible, and tactful. Excellent communication and interpersonal skills, with a strong sense of responsibility and discretion. Ability to multitask and work in a dynamic atmosphere. Experience in a similar position or client service environment. College or university degree. Fluent in English and Lithuanian (both written and verbal), with strong IT literacy.
