JOB SUMMARY

As an integral member of the Tyendinaga Township Public Library team, the Circulation Clerk works closely with the Chief Executive Officer and Assistant Librarian to ensure quality service while maintaining the profile of the library in a positive image. The Circulation Clerk will apply an understanding of the broader context and mission of both the library and the Township of Tyendinaga to serve patron needs.
The circulation clerk is a part time position with regularly scheduled hours, which can include days, evenings and Saturdays. Filling in as relief for staff while on vacation or sick leave may also occur.

JOB DESCRIPTION EVALUATIONS AND UPDATES

The Circulation Clerk job description will be edited or updated with direct collaboration between the employee, the CEO and the Library Board. The Circulation Clerk will contribute to additions or removal of specific items, as the role of Circulation Clerk evolves to reflect the current needs of the Public Library and the greater rural community of Tyendinaga Township.
The Circulation Clerk will meet with the CEO three times throughout the fiscal year for both informal and formal evaluations.

EXPERIENCE, SKILLS AND EDUCATIONAL BACKGROUND

  • Grade 12 diploma or equivalent at minimum.
  • Customer service experience in a library setting or equivalent.
  • Willingness to pursue professional development opportunities as they arise (i.e. EXCEL certificate from the Ontario Library Service or other related PD).
  • Knowledge of computers and keyboarding.
  • Knowledge of automated circulation/cataloging systems an asset.
  • Strong interpersonal skills.
  • Ability to work independently under the direction of the CEO.
  • First Aid/CPR Certification is an asset. If a candidate doesn’t already have up-to-date certifications, they will be expected to complete the training in a timely fashion.
    PLEASE NOTE - A Police Record Check will be required for all employees and volunteers of the Tyendinaga Township Public Library. Successful applicants must submit the Police Record Check (dated within the last six months) prior to or on the first day of employment.

Responsibilities

Under the supervision of the CEO/Head Librarian, the Circulation Clerk performs a variety of circulation desk duties which include providing customer service, helping with public access to computers and WIFI, access to library databases, circulating library materials and maintaining appropriate records, sending and receiving interlibrary loan materials and other duties as assigned by the CEO/Head Librarian.

Responsibilities of the Circulation Clerk are as follows:

  • Opening and closing of the building.
  • Assist, plan and organize library programs as requested and deemed appropriate.
  • Assist in re-shelving library materials and conducts shelf reading to ensure correct shelving which aids in efficient patron service.
  • Assist in patron service in person and by telephone.
  • Assist patrons to locate materials within the library, provide instruction with the Libby App, and office equipment available for patron use.
  • Provide reader advisory in selecting materials appropriate to their individual needs (i.e advise Patrons with regard to recent additions to the collection; suggest titles/authors which may be of interest).
  • Locate reference materials for patrons. Conduct online search to find and locate reference material.
  • Provide circulation duties: checking all library material in and out, collecting items from the inside and outside drop box and processing as appropriate and processing items for renewal.
  • Issue and renew all library memberships.
  • Make recommendations to the Library CEO regarding collection development based on suggestions and comments from patrons and keeping abreast of public views/interest to achieve an attractive and well-balanced collection which serves the needs of our community.
  • Assist in annual inventory of all circulating library resources.
  • Assist patrons with devices such as the Daisy Reader and e-readers.
  • Other duties as assigned by the CEO/Head Librarian.
