About the Role: The Clerical position is essential for ensuring the smooth and efficient operation of office functions within an organization. Minimum Qualifications: * High school diploma or equivalent. * Proficiency in basic computer applications such as Microsoft Office Suite (Word, Excel, Outlook, DealerTrack DMS) * Strong organizational and time management skills. * Excellent written and verbal communication abilities. * Ability to handle multiple tasks simultaneously with attention to detail. Preferred Qualifications: * Previous experience in an administrative or clerical role. * Familiarity with office management software and database systems. * Basic knowledge of bookkeeping or accounting principles. * Ability to work independently and as part of a team in a fast-paced environment. * Additional certifications related to office administration or business management. Responsibilities: * Record car sales, dealer trades and wholesales to the general ledger daily. * Ensure the timely payoff of customer’s loans of trade-in’s. * Ensure the timely payoff of floored units. * Prepare all sales spiffs. * Prepare and maintain the weekly “heat sheet” and Contract in Transit list. * Perform accounting purchase duty of new and pre-owned vehicles. * Maintain accounting schedules that are a direct result of the billing of the car deals. * Maintain a professional appearance. * Maintain a professional, positive and supportive attitude at all times. * To assist with daily operations and request of the immediate supervisor and or general manager or controller. Skills: The required skills such as proficiency in Microsoft Office and strong organizational abilities are utilized daily to manage documentation, correspondence, and scheduling efficiently. Effective communication skills enable the clerical professional to interact clearly with colleagues, clients, and vendors, ensuring smooth information flow. Attention to detail is critical when entering data, preparing reports, and maintaining records to avoid errors and support decision-making. Preferred skills like familiarity with office software and basic bookkeeping enhance the ability to handle specialized tasks and improve overall office productivity. Together, these skills ensure that the clerical role contributes significantly to the operational success of the organization.
