Job Title: Clerical Officer - Maternity Cover
Hours per week: 37.5
Reporting to: MAIC Manager
Shift Pattern: Wednesday, Thursday, Friday, one Saturday per month.
Contract Type: Fixed Term (Maternity Cover)
Location: The Advanced Imaging Centre, Meriden
Annual Salary: £26,000 Pro Rated
Main Purpose of the Job
The Clerical Officer will provide essential administrative support to the Imaging Department, focusing on managing patient bookings, handling queries, and ensuring the efficient operation of clerical tasks. The postholder will work collaboratively with the imaging and administrative teams to ensure seamless patient experiences and meet departmental targets.
Key Responsibilities

  1. Patient Booking and Administration
  • Manage appointment scheduling, adjustments, and cancellations in a timely and efficient manner.
  • Record and update patient data accurately in the patient administration system.
  • Ensure that referrals are processed and follow-up actions are completed, collaborating with clinical teams to meet reporting timelines.
  1. Communication and Customer Service
  • Exhibit excellent telephone manners while interacting with patients, staff, and external stakeholders.
  • Address patient inquiries promptly, redirecting calls as necessary to the appropriate department.
  • Foster a supportive and customer-focused atmosphere within the Imaging Department.
  1. Compliance and Data Management
  • Maintain patient records according to the Data Protection Act 2018 and organisational policies.
  • Assist with data audits and provide administrative reports as directed.
  • Stay informed of infection control protocols in alignment with the Health and Social Care Act 2008 (updated 2015).
  1. Departmental Collaboration
  • Work with clinical and non-clinical staff to support an efficient, patient-centered imaging service.
  • Participate in team meetings and contribute to collaborative departmental objectives.
  • Inform the Imaging Manager of any issues affecting service delivery or patient care.

Key Internal and External Relationships

  • Internal: Radiographers, Radiologists, Nursing, Front of House, Finance, and Executive teams.
  • External: Patients, consultants, corporate clients, NHS, and external referrers.

Person Specification

Essential Skills & Experience

  • Prior experience in an administrative or clerical role, ideally within healthcare.
  • Proficient communication and customer service skills, with the ability to address inquiries effectively.
  • Strong organisational skills with an eye for accuracy and detail.
  • Ability to handle multiple tasks under pressure and work with minimal supervision.
  • Knowledge of the Data Protection Act and adherence to confidentiality protocols.

Desirable

  • Knowledge of medical terminology.
  • Experience with patient administration systems.
