Job Title: Clerical Officer
Duration: This is a temporary role, and it is currently due to last roughly up to 8 weeks
Location: Colchester Hospital, Turner Rd, Colchester, CO4 5JL
Hours: 37.5 hours per week, Mon - Fri, shift patterns
Mostly 8am - 4pm or 9am - 5pm
But the postholder will need to be available to work until 8pm when required
Pay Banding: Band 2 - £12.21 per hour

THE POSTHOLDER MUST HAVE THE FOLLOWING EXPERIENCE:
Administrative experience

JOB DESCRIPTION
· To provide a high standard of clerical service and, where necessary, reception duties across the department, adhering to guidelines and policies.
· To undertake a range of clerical and administrative duties which will include receiving and checking documentation, such as blood results when relevant, reports and patient information, processing appropriately within departmental guidelines, entering information onto the appropriate IT systems and retrieving information as and when required.
· To be fully conversant with and adhere to standard operating procedures, policies and agreed departmental procedures.
· To become a confident user on all relevant hospital systems to enable accurate input of complete patient information into the Radiology computerised booking system, (CRIS) and hospital computer systems. (Lorenzo/ Care Flow).
· To greet patient and visitors to the department, providing an efficient and courteous service, referring queries or concerns regarding patients and other visitors to the department, to the appropriate senior staff when required.
· To deal with telephone callers politely and efficiently and understand the need to refer on to a relevant member of staff when necessary.
· To book Outpatient/ GP appointments in urgency order, using CRIS. (Ensuring letters and any preparation are sent out in a timely manner).
· To communicate with external departments, such as Patient Transport, Paediatrics, Interpreters and Satellite sites - to arrange appointments for their ward patients.
· To communicate with patients, some of whom may be anxious or distressed, via the telephone and face to face, to agree appointment date and time and answer general enquiries.
· To escalate any concerns regarding capacity to the Operational Co-ordinator, and expedite appointments and procedures to avoid breaching DMO1/ Cancer wait times.
· To ensure all appointment slots are utilised, to keep patient waiting times to a minimum.
· Ensure patients that have failed to attend or have cancelled their appointments are identified and re-booked according to departmental and trust policy.
To rotate between reception and booking appointments as per the clerical rota, ensuring effective cover during times of sickness, absence and annual leave.
