JOB SUMMARY

The Clerk/Dispatcher performs a variety of clerical, administrative, and dispatching duties in support of the Animal Control Shelter. This position is responsible for maintaining accurate records, responding to public inquiries, dispatching staff, handling monetary transactions, and providing information to the public regarding shelter services, adoptions, and animal-related regulations.

SKILLS, ABILITIES AND KNOWLEDGE

  • Ability to operate standard office equipment.
  • Strong organizational skills with the ability to maintain accurate files, records, and documentation.
  • Ability to effectively use Office 365 applications, including Excel, Word, PowerPoint, and Outlook.
  • Strong verbal and written communication skills, with the ability to interact effectively with staff, supervisors, City employees, and the general public.
  • Ability to read and interpret maps and relay accurate information as needed.
  • Familiarity with animal breeds is beneficial.
  • Ability to remain calm and professional in stressful or urgent situations.
  • Knowledge of and ability to maintain files, records, and documents.

EDUCATION AND EXPERIENCE

High school diploma or equivalent required.
Completion of clerical, or business-related coursework and/or relevant experience preferred.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

  • Work is primarily performed in a modern office environment with minimal physical demands.
  • Occasional interaction with animals is required when animals are brought in or adopted at the kennel.

Responsibilities
  • Perform assigned clerical and administrative tasks in support of Animal Control Shelter operations.
  • Maintain department files including all work orders and related documentation.
  • Answer, record, and route incoming telephone calls to appropriate personnel in a timely and professional manner.
  • Receive and document public complaints, ensuring they are properly dispersed for appropriate action.
  • Monitor and operate the two-way radio system, responding to staff calls and dispatching units or officers for quarantines, animal pickups, and related needs.
  • Dispatch units and officers for quarantines and animal pickups, receive and record bite reports, compile monthly reports and receives animals into kennel.
  • Assist visitors by explaining animal adoption procedures and guiding them through the process.
  • Process and collect payments for adoptions, animal returns, quarantine fees, and city licenses.
  • Provide information to the public regarding permit procedures for large, wild, and exotic animals.
  • Maintain accurate records for quarantined and euthanized animals and trace animal identification.
  • Enter and manage data related to complaints and service operations, maintaining detailed and accurate records.
  • Ensure communication devices remain monitored at all times and follow procedures as directed by supervisors.
  • Conduct daily inventory and assist in supply price verification. Performs other duties as assigned.
