GENERAL SUMMARY

This position’s responsibilities are to provide a variety of support to the Teaching & Learning Department. Responsibilities include organizing, coordinating, supporting, providing technical support, managing budgets and office functions, distributing course information and material; coordinate paraeducator certification and training records; serve as liaison with Pierce College and manage training logistics; support communication, scheduling, and accountability systems.

Licenses/Special Requirements
Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor.

Responsibilities

Depending upon the individual assignment, the Clerk – Teaching & Learning Department may perform all or a combination of the following:

  • Manages and maintains comprehensive records for paraeducator certification requirements, including tracking completion of the Fundamental Course of Study (FCS), General Certificate progress, and clock hour documentation.
  • Oversees the submission and processing of paraeducator certification reimbursement forms and ensures compliance with state and district-level training mandates.
  • Acts as the primary liaison between the district and Pierce College for all paraeducator training programs.
  • Maintains the district’s Pierce College para tracking spreadsheet, monitors pay rosters and approvals through Paylink, and collaborates on contract-related matters between the district and the college to ensure seamless implementation of required coursework and trainings.
  • Drafts and sends timely correspondence to newly hired and current paraeducators regarding certification deadlines, class schedules, and training requirements.
  • Maintains and distributes training calendars, monitors attendance including no-shows (and related chargebacks if applicable), and ensures accurate data is tracked and reported to support funding and compliance efforts such as iGrant submissions.
  • Performs related duties consistent with the scope and intent of the position.
  • Assists Teaching & Learning staff as needed.
  • Provides additional support with a variety of backup and peak load support to the Teaching & Learning Department including answering telephones, assisting office visitors, additional filing and other office duties as needed or as assigned.
