OVERVIEW

We are a growing property management and lettings company based in Brighton. We are now seeking an experienced Client Accounts Administrator to take responsibility for landlord accounts, bills, and financial records. This position requires strong organisational skills and the ability to multitask effectively in a fast-paced environment.
This role focuses primarily on landlord-facing account management, preparing statements and summaries for external accountants, rather than full accounting or tax filing responsibilities.

SKILLS & EXPERIENCE

  • Minimum 1 year of experience in landlord/client accounts or lettings accounts administration
  • Previous office experience with a focus on administrative tasks is essential
  • Strong data entry skills with attention to detail to ensure accuracy in records
  • Good understanding of client money handling requirements within lettings
  • Confident using property management or accounting software (agentOS, Xero, or similar)
  • Strong communication and organisational skills
  • Fluent Mandarin (spoken and written) is essential for communication with landlord clients
  • Ability to manage workload independently and meet deadlines
  • Excellent administrative experience demonstrating organisational abilities
  • Demonstrated phone etiquette skills for effective communication with landlords, tenants, and service providers
  • Ability to engage in upselling techniques to enhance landlord and tenant experiences and increase service uptake
Responsibilities
  • Process landlord bills, supplier invoices, and contractor payments
  • Manage rent collection and landlord disbursements in line with Client Money Protection (CMP) requirements
  • Reconcile landlord client accounts and maintain accurate financial records using our property management system (e.g. agentOS / Letting Hub / Xero)
  • Prepare and issue monthly landlord statements
  • Maintain accurate records for audits and compliance purposes
  • Liaise with landlords, tenants, and suppliers regarding account queries
  • Prepare annual rental income summaries for landlords, to be signed off by external accountants for tax purposes
