Position Summary: HB is seeking a Client Bill Pay Associate to support our Family Office Services team. This role plays a key part in ensuring the accurate, timely, and confidential processing of financial transactions for our clients. You will work closely with Family Office Associates to manage the full lifecycle of accounts payable activity, including invoice processing, account reconciliation, and expense tracking. The ideal candidate brings strong organizational skills, exceptional attention to detail, and the ability to manage multiple client relationships with discretion and accuracy. Key Responsibilities Invoice Processing: Receive, review, and process vendor invoices for multiple clients, ensuring accuracy, proper documentation, and adherence to client-specific approval workflows. Payment Execution: Prepare and schedule payments across multiple accounts, confirming that all bills are paid efficiently, on time, and in accordance with established procedures. Reconciliation: Reconcile monthly statements, client accounts, and credit card transactions to ensure accuracy and completeness of records. Record Keeping: Maintain organized and up-to-date electronic and paper files for all accounts payable and related financial records. Expense Reporting: Track expenses for clients, providing timely reporting and insights to Family Office Associates as needed. Issue Resolution: Identify and resolve billing discrepancies, vendor inquiries, and payment issues with a professional and solution-oriented approach. Process Improvement: Continuously assess workflows to identify opportunities for increased efficiency, accuracy, and automation. Collaboration: Partner closely with Family Office Associates, custodians, and vendors to deliver exceptional service and maintain the integrity of client financial information. Requirements Bachelor’s Degree from an accredited college or university (required); concentration in Accounting, Finance, or a related field (preferred). 5+ years of relevant experience in accounting, bookkeeping, or accounts payable, ideally within a Family Office, wealth management firm, or similar environment. Strong proficiency in accounting systems, Excel, and general financial reporting tools. Proven ability to manage multiple priorities with accuracy, confidentiality, and professionalism. Self-starter with exceptional attention to detail and a proactive approach to problem solving. Team-oriented and flexible, with a willingness to support colleagues and adapt to evolving client needs. Strong communication and interpersonal skills, with the ability to interact effectively with internal team members, vendors, and clients. Intellectual curiosity and perseverance when faced with challenges. Successful completion of a criminal background and credit check is required.
