PREFERRED SKILLS AND EXPERIENCE

  • Previous experience in the real estate industry or supporting a real estate team
  • Proficient with Apple/Mac systems and CRM platforms
  • Strong organizational skills and attention to detail
  • Excellent communication and client service skills
  • Ability to multi-task and thrive in a fast-paced, deadline-driven environment
  • Experience with bookkeeping, accounting, or marketing tools (an asset)
  • Comfortable with Microsoft Excel and Google Sheets

REQUIREMENTS

  • Valid driver’s license and reliable vehicle during business hours
  • Diploma or degree in Business Administration or a related field (preferred)
  • Previous experience in administration, client coordination, or customer service management (real estate admin experience preferred)

KEY RESPONSIBILITIES

  • Act as the main point of contact for clients from initial consultation through closing, ensuring a five-star experience.
  • Coordinate listings — scheduling staging, photography, and ensuring properties are market-ready.
  • Oversee transaction management, ensuring key dates, conditions, and client updates are tracked accurately.
  • Serve as a liaison between agents, clients, lawyers, lenders, and vendors to keep every deal on track.
  • Lead and support the backend operations team including a marketing coordinator and virtual assistants.
  • Maintain and optimize our CRM systems, tracking client engagement and pipeline progress.
  • Assist with client communications, mailers, newsletters, and database follow-ups to keep our clients connected.
  • Support light staging and styling for listings to maximize appeal.
  • Handle basic bookkeeping and reporting, including monthly profit/loss summaries and marketing performance data.
  • Document and refine systems and processes to ensure smooth scaling as the team grows.
