JOB DESCRIPTION
Reporting to the Office Manager, this part-time position is responsible for carrying out the administrative duties and procedures that support the effective and efficient delivery of mental health services by the practitioners and director. As the first point of contact for clients, this position plays an instrumental role in creating an environment that is safe and welcoming. Comfortable with technology, the Client Care Team have a strong ability to prioritize while maintaining flexibility of their duties and tasks dependent on client and practitioner needs. Please note that this is a growth position for the company.
EDUCATION AND EXPERIENCE
Post-secondary education in administration, business or related field; comparable job-based experience will be considered
3-5 years of administrative/office reception experience; preference will be given to candidates with experience in a related field
Fluency with standard office-related software is required
Some understanding of, or experience in, the mental health field preferred
A combination of education and experience will be considered
Experience with third-party billing, insurance companies or financial manners is considered an asset.
HOURS OF WORK:
This is a part-time position of approximately 20-30 hours per week. The perfect applicant will be looking for an opportunity that allows them some flexibility in their hours, and who also has flexibility to offer.
Preference will be given to candidates who live in the community of St. Albert.
Answer incoming calls, emails and texts in a warm and professional manner
Maintain confidentiality of client information at all times
Screen the needs and interests of potential clients inquiring about appointments and therapists
Match potential clients with skills, interests, schedule, and cost of our practitioners and students; schedule initial appointments and follow all new client intake procedures.
Respond to client concerns and questions, including assisting with scheduling, registering in groups and talks, and providing invoices.
Provide administrative support to practitioners.
Other duties as required including copying/filing/faxing/scanning, mail management, newsletter and mailing lists, office supply management, etc.
Assist and support practitioners and senior office staff with bookkeeping and billing
Assist on projects as needed and provided by the OM
Over time you will also be crosstrained on third party and direct billing, assisting with the deposit and other financial responsibilities around the office.
