Responsibilities

The whole purpose of the Client Concierge team is to look after clients before they arrive, whilst they are in the clinic and then afterwards, being the point of contact for questions and queries. Much like in a luxury hotel, the Concierge is there to help with anything the client needs. To be exceptional at this role, you will need to be a people person and pride yourself in providing service excellence to every person you interact with.

Your key responsibilities are:

  • Account management – looking after a number of the clinical team to ensure all clients have treatments scheduled, consent documents signed and aftercare arranged.
  • Developing relationships with new and existing clients to provide them with exceptional customer care and personalised service
  • Managing and maintaining diary space to maximise appointment availability and ensuring no time is wasted in the clinical diary
  • Reporting - managing all of the daily, weekly and monthly reports accurately that are required for the efficient and safe running of the clinic
  • Meet & Greet – meeting all new clients and helping them to complete all paperwork prior to their appointments. This would also involve answering questions and talking with clients who are nervous or scared, to help them relax and feel at ease.
  • General administration – helping with the day to day administration of the clinic
  • Enquiries – a key part of this role is dealing with all incoming enquiries from social media, email and that are sent via the HAUS website. These are can vary from helping to rearrange appointments, make consultations for brand new smile makeover enquiries and helping clients become members of the clinic
  • Answering all phone calls into the clinic with enthusiasm and warmth
  • Face of the clinic – as a Client Concierge, you are a real face of the clinic! We encourage all of our Concierge team to spend time in the lobby with our clients to make them feel special and valued – so being able to speak to people with confidence and class is vitally important.
