CLIENT DELIVERY COORDINATOR – PART TIME, HYBRID

5 days a week - 5 hours a day between 9 and 5pm
Are you detail-driven, calm under pressure, and confident coordinating quotes, suppliers, and bookings? Do you enjoy supporting others, working with systems, and communicating professionally with clients?
We’re hiring an L&D Coordinator to join our commercial operations team. This role is ideal for someone who thrives on delivering structured, accurate work and supporting the smooth running of client accounts. You’ll manage the coordination of external training – from initial quote through to confirmed bookings – across a range of clients and suppliers.
This isn’t an internal L&D admin role. Instead, you’ll act as a bridge between clients, suppliers, and our internal team, ensuring a seamless process that delivers value and accuracy every time.

ESSENTIAL SKILLS & EXPERIENCE

We’re looking for someone who is detail-focused, organised, and confident working across multiple systems to support client-facing teams.

You should have:

  • High attention to detail – you naturally spot inconsistencies and take pride in accuracy
  • Calmness under pressure – able to manage multiple requests without losing focus
  • Strong written communication – clear, professional, and client-appropriate
  • Logical thinking – able to connect dots, follow structured processes, and problem-solve
  • A methodical and task-oriented mindset
  • Experience in a B2B environment – ideally 1–2 years in an administrative, client support, or coordination role
  • Good working knowledge of Microsoft Office 365, especially Outlook, Word, and Excel (basic level is fine)
  • Familiarity with shared file systems like OneDrive or SharePoint

A quick learner – you don’t need to know our systems (Arlo, HubSpot), but you must be confident using new platforms and following processes.

Responsibilities

This is a hands-on, detail-focused role where you’ll support the coordination and administration of training activity across a variety of clients. You’ll be responsible for quote preparation, supplier communication, and managing the logistics of training delivery.

Key activities include:

  • Responding to client enquiries and coordinating support for clients
  • Preparing clear, accurate quotes using supplier input and internal templates
  • Reaching out to suppliers to confirm course details, availability, pricing and suitability
  • Compiling and reviewing supplier options, assessing factors such as margin, location, quality, and accreditation
  • Sending quotes and following up with clients to secure bookings
  • Coordinating and scheduling training sessions between suppliers and clients
  • Managing changes or queries to existing bookings
  • Ensuring all handovers to the service delivery team are complete and accurate
  • Updating HubSpot and tracking systems to ensure visibility and progress
  • Supporting occasional discussions with clients to understand challenges and spot opportunities
