We are seeking a Client Intake Coordinator to be the welcoming and professional face of our law firm. In this role, you will be the first point of contact for potential new clients, guiding them through the initial intake process. You will be responsible for conducting needs analyses, managing client inquiries, and meticulously tracking all lead information in our CRM system. This position requires a detail-oriented professional with excellent communication skills who can build rapport and ensure a seamless, positive experience for every potential client. Salary Range: $47,000 - $58,000

  • On-Target Earnings (OTE): Up to $70,000 per year

  • Client Communication and Intake: Serve as the primary point of contact for all potential new clients, handling inquiries via phone, email, and in-person meetings. Conduct in-depth needs analyses to determine the best course of action and provide a seamless, professional experience from the first interaction.
  • Lead and Case Management: Accurately enter and manage all new client data in our case management system, Lawmatics. Maintain a meticulous tracking system to monitor leads, new clients, and referral sources, ensuring no follow-up is missed.
  • Performance and Reporting: Follow up with potential new clients who have not yet retained our services. Produce weekly reports on key performance indicators, including lead conversion rates and cost of acquisition, for review with the owner.
  • Collaboration and Support: Oversee the smooth and organized transition of new cases from intake to the legal team. Work with the Marketing Assistant to coordinate networking activities.
  • Client Feedback and Firm Reputation: Actively manage and solicit client feedback and reviews, using the information to support our firm’s reputation and client experience.

Qualifications:

  • Education: Bachelor’s degree.
  • Industry Experience: Prior experience working in a law firm or a legal environment.
  • Software: Proficiency with legal Customer Relationship Management (CRM) software; direct experience with Lawmatics is a significant plus.
  • Sales/Intake Experience: Experience in a sales or intake coordination role where you were responsible for lead conversion.
  • Travel: Willingness to travel occasionally for sales training or networking events.
