Description Job Summary: Kovitz Shifrin Nesbit is growing! A leading and well-established law firm based in Illinois is seeking a Client Representative for our Boca Raton, FL location. As a Client Representative, you'll be at the heart of our operations, working with homeowners, property managers, and attorneys to facilitate payments, manage collections, and ensure timely resolution of outstanding accounts. From preparing demand letters to managing cases, you’ll use your project management skills to juggle multiple priorities, deadlines, and deliverables while keeping our clients’ needs front and center. The starting hourly rate for this role is $25.00, contingent upon level of legal experience and location. Communicate professionally with attorneys, homeowners, board members, property managers, clients, and third parties to provide exceptional customer service and resolve inquiries in a timely manner. Open new matters promptly and accurately, including verifying ownership information, mailing addresses, and governing document violations. Maintain organized litigation files, detailed case notes, and accurate records within the firm's case management system. Docket deadlines, monitor case activity, and ensure timely follow-up to effectively manage matters from intake through resolution. Prepare and electronically file court documents, complete service of process for lawsuits, and assist attorneys with hearing and trial preparation. Process payments, enter billing for services and expenses, and maintain accurate financial records related to assigned matters. Ensure matters progress efficiently while meeting established deadlines and maintaining a high level of accuracy and organization. Perform other duties as assigned. Requirements Qualifications & Required Skills: Preferred: · Law office administrative experience. · Project management skills. · Post-secondary education. · Intermediate experience with Microsoft Office (Outlook, Word, Excel). · Experience with Adobe Acrobat. Required: · 2+ years of administrative office experience required. · Strong organizational skills, attention to detail, and accuracy. · Excellent verbal, written, and interpersonal communication skills, with professional telephone etiquette. · Team player who can work independently, prioritize, multi-task, and manage time effectively in a fast-paced environment. · Ability to analyze basic legal documents and learn software of the firm. · Ability to coordinate communication and workflows. · Proactive problem-solver with strong analytical skills. · Typing: 50+ WPM with 90%+ accuracy.
