YOUR MISSION: Provide general administrative support to a department or group of professionals. (Work is performed under general supervision and requires independence and discretion.) Research a wide variety of information requests and prepare and analyze trends and status reports, drawing data from a variety of sources both within and outside the department. Route or answer routine correspondence and maintain confidential department records and files. Assist in the formulation of the department budget, business planning, and related planning functions, interacting with customers, suppliers, or employees outside the immediate work area. HOW WILL YOU MAKE AN IMPACT? - Provide comprehensive administrative support to a department or group of professionals, ensuring tasks are completed with independence and discretion. - Conduct thorough research on various information requests, preparing and analyzing trends and status reports by drawing data from multiple sources both within and outside the department. - Manage routine correspondence, maintaining confidential department records and files with precision. - Assist in the formulation of the department budget, business planning, and related functions, interacting effectively with customers, suppliers, or employees outside the immediate work area. - Produce, update, and offer best practice support on a wide range of Microsoft documents, databases, and other departmental systems. - Schedule appointments, arrange meetings and conferences, and organize travel plans to optimize the time of senior colleagues or executives. - Prepare routine letters, emails, minutes of meetings, and reports for approval by senior colleagues or executives. - Create moderately complex documents using various applications for technology devices, ensuring accuracy and clarity. - Gather and summarize data for reports, producing accurate outputs by collecting data from standard sources and inputting it into standard formats. - Design and manage monthly schedules, assigning work to others when necessary to enhance office workflow and prioritize high-priority tasks. - Monitor and analyze data using budgeting systems and protocols, ensuring financial accuracy and compliance. - Develop and maintain excellent process or technical skills through participation in assessment and development planning activities, as well as formal and informal training and coaching. - Adhere to the organization's policies, procedures, and regulatory codes, ensuring all work meets required standards. - Support procurement tasks by following established procedures, contributing to efficient resource management. - Required EducationPost-Secondary Non-Tertiary Education. - Required ExperienceDemonstrated experience and understanding of straightforward procedures or systems. - Managerial ExperienceLimited managerial experience, focusing on task execution and support.
