QUALIFICATIONS

  • Education: Degree in a relevant field: Business Administration, Data Management Analytics, Education, or any related fields.
  • Technical: Expertise in digital literacy; Proficient use of Zoom, Google Drive, MS Teams or other digital platforms.
  • Experience/Results Orientation: Demonstrates a focus on finishing all tasks assigned in a timely manner.
  • Communication: Excellent English communication skills - both verbally and written, including listening, assessment, and organizational skills.
  • Exceptional customer service skills.
  • Minimum three years of experience in customer service, administration, and cross-cultural communication; experience working in a busy client service and office environment is preferred.
  • Ability to multi-task and work with minimum supervision.
  • Self motivated,flexible, organized, punctual, team player.
  • Ability to use initiative and judgment within established guidelines and procedures.
  • Ability to analyze, interpret, apply, and explain the Centre’s services to clients.
  • Ability to establish and maintain positive working relationships with others both internally and externally.
  • Skilled in the use of Microsoft Office, in particular Word, Excel, and PowerPoint.
  • Alberta Class 5 driving licence is an asset.

Responsibilities

THE ROLE

Reporting to the Client Service Team Lead, this merged position is responsible for ensuring: that clients, guests, and callers are provided a consistent, professional, prompt, and friendly level of service; pre-screen clients to determine their eligibility for service programs; and provide administrative support to the Centre for Newcomers staff.

RESPONSIBILITIES:

  • Welcome clients, guests and callers and ensure that all clients and guests waiting on site or over the phone receive a professional, friendly, and adequate level of service or attention.
  • Work collaboratively with the Settlement and Case Management Teams.
  • Provide clients with a brief overview of the Centre’s major services.
  • Collect client information including government needed information such as ID numbers and other information, storing it into a database or excel sheets.
  • Direct clients and guests to their scheduled appointments promptly; advise program staff as appropriate.
  • Answer, screen, and forward telephone calls, take messages and respond to telephone inquiries.
  • Schedule or book and co-ordinate appointments with employment and settlement personnel and other programs appropriately.
  • Work collaboratively with the Client Service Team and all other program staff.
  • Provide administrative support to the Centre for Newcomers as requested.
  • Use a customer-focused approach to effectively pre-screen clients to determine eligibility for program services as well as to provide overview of internal and external resources and services which may help to meet their needs.
  • Some Saturdays and evening availability required.
  • Perform other related functions that the supervisor assigns.
