Responsibilities

ROLE SUMMARY:

The role as Communications Coordinator and Administrative Assistant is to be present at the front office ensuring everyone is greeted with a smile, and to ensure all Prime’ clients have a pleasant and welcoming experience while ensuring that our policies, procedures and behavioural etiquette expectations are maintained.

You must be:

  • Knowledgeable about the programs, pricing and therapy services offered at Prime’ Sport Performance and Therapy
  • Welcoming to clients, aware of their health & fitness goals and able to support the client in meeting those goals as part of our integrated team.

RESPONSIBILITIES:

  • Greet clients and guests in a welcoming and professional manner and maintain strong relationships that promote trust and client satisfaction;
  • Perform ongoing, shift-specific duties related to the operations of the front desk area, training floor and locker areas in the performance centre;
  • Maintain a clean and tidy environment, including equipment and change rooms;
  • Responsible for the application of existing policies and procedures including the enforcement of our established ‘rules’ and behavioral expectations of clients and members;
  • Schedule, book and take payments for appointments, classes, and programs.
  • Accuracy and attention to detail is very important;
  • Answer or make telephone calls, return emails and take care of client or visitor requests and inquiries. Process payment transactions for memberships, appointments & classes;
  • Be knowledgeable about the programs and services offered at Prime’ and be able to appropriately respond to client enquiries;
  • Perform the planning, execution, on-site management, and post-event wrap up for various events.
  • Respond to phone calls and email inquiries in a timely and professional manner.
  • Draft marketing and outreach content for multiple events including newsletters, social media posts, print materials, and hardcopy mailouts.
  • Work with external graphic designers and print companies to design and coordinate conference print materials and signage.
  • Oversee website management and perform regular updates.
  • Create communications strategies aimed at increasing brand awareness
  • Prepare outgoing letters, packages, and mail merges as requested in a timely manner.
  • Maintaining excel trackers for programs, speakers, and sponsorships.
  • Updating contact mailing lists and tracking incoming sponsorship requests.
  • Assisting with monitoring and tracking project tasks and deadlines.
  • Collecting and compiling feedback forms and other data as needed.
  • Assisting with organizing and maintaining physical and digital files.
