OVERVIEW

We are seeking a dedicated and detail-oriented Client Services Specialist to join our team! In this role, you will be the primary point of contact for our clients, ensuring their needs are met and fostering strong relationships. You will play a crucial role in managing projects, enhancing customer satisfaction, and contributing to the overall success of our organization. You will play an instrumental role in facilitating an exceptional client expereince, maintain operational effectiveness and support our advisor team in their onboarding and service of clients. The ideal candidate will have a background in financial services and exceptional communication and interpersonal skills, attention to detail, the ability to multi-task. This role provides a foundation to explore various paths within the firm.

SKILLS & QUALIFICATIONS:

  • Life Accident & Health Exam Preferred or by 90 days in role
  • Excellent interpersonal and communication skills to effectively interact with clients & team members, providing prompt and professional assistance.
  • Ability to empathize with clients, actively listen to their concerns, and provide appropriate guidance.
  • Strong problem-solving skills to address administrative operational challenges.
  • Ability to multi-task effectivley in a fast paced environment
  • Knowledge of the financial industry and/or passion for the field

Responsibilities

Client Service- General:

  • Interact with clients, providing a high level of customer service and addressing their inquiries and concerns.
  • Collaborate with team members and escalate appropriate situations to meet client needs and resolve issues.
  • Maintain client databases, update records, and generate reports to track client interactions and activities.

Client Service – Insurance:

  • Manage policy renewals, cancellations, and changes, including beneficiary updates, policy upgrades, or downgrades.
  • Process claims and coordinate Home Office for claim status updates and resolution.
  • Address and resolve client concerns related to premiums, coverage, or policy terms.
  • Investigate and troubleshoot issues with billing, claims, or policy discrepancies.

Client Onboarding - Insurance:

  • Facilitate the insurance application process, ensuring all required documentation is complete and accurate.
  • Act as liaison between Home Office, Advisor, and Client during the underwriting process to ensure timely follow through and progress while advocating for the best outcomes.

Client Service - Investments

  • Facilitate investment transactions such as fund transfers, contributions, withdrawals, and account changes.
  • Ensure proper documentation is submitted and filed for account activities, adhering to regulatory requirements.
  • Address and resolve client concerns or issues related to their investment accounts in a timely and professional manner.

Client Onboarding - Investments

  • Facilitate new account opening process, ensuring all required documentation is complete and accurate.
  • Act as liaison between Home Office, Advisor, and Client during the account opening process to ensure timely follow through and progress.

Executive Support

  • Ensuring Professional calendar coordination and scheduing
  • Miscellaneous requests (orders, maintenance coordination, research, technology, booking, etc)
