TITLE: Client Services Representative
DIVISION: Faculty of Health Sciences
SALARY: Payband E, starting rate $28.78 per hour
HOURS: Monday to Friday, 10:30 am to 6:00 pm

EDUCATIONAL AND EXPERIENCE REQUIREMENTS:

  • One-year certificate or equivalent from a recognized post-secondary institution in Dental Office Administration or equivalent.
  • Minimum two (2) years’ experience in high-volume frontline reception within the health care field; receiving payments.
  • Knowledge of current dental terminology.
  • Proficiency in Microsoft Office.
  • Knowledge of dental practice management software, records management and the Personal Health Information Protection Act 2004.

Responsibilities
  • Answers phone calls and responds to client and student enquiries.
  • Provides support to students regarding use of client scheduling system.
  • Oversees student voicemails (i.e., cleans up voice mails at the end of the academic year and reassigns to new students).
  • Explains, guides and monitors students who are on placement or client services rotation on processes and procedures.
  • Enters new client information into client scheduling system.
  • Processes payments for treatment, completes insurance claims and forms as necessary, and balances daily deposits.
  • Monitors assignment of clients to students.
  • Monitors inventory of dental clinic forms in reception area.
  • Submits, receives and processes clients’ referrals, medical consultations and confidential documents to/from third parties; contacting the dental office, faxing or scanning forms.
  • Other duties as assigned.
