Description

JOB FUNCTION:

Responsible for quality control of data collected and entered on various systems. Ensures accounts are accurately opened on different platforms. Will run and or create various department reports and submit to other departments and advisors.

WORK EXPERIENCE

  • Experience or knowledge of investment operations preferred
  • Working knowledge of SEC and state regulations preferred
  • Portfolio performance reporting preferred
  • Reporting & CRM system management and utilization preferred

SUPERVISORY EXPERIENCE

  • None

EDUCATION/SKILLS/EXPERIENCE

  • High school diploma
  • Bachelor degree
  • Prefer Accounting, Finance, or Economics
  • Data Management
  • Excellent written and verbal communication skills
  • Strong ability to prioritize with focus on client service and effective communication
  • Able to identify process improvements needs and work to resolution

Responsibilities
  • Prepare documentation for new brokerage, retirement, complex, and managed accounts in accordance with Custodian service guidelines.
  • Prepare documents for complex accounts such as trust, entities, 529 Plans, and international clients.
  • Knowledgeable about Custodian service guidelines to complete and process daily work items. Able to effectively communicate these guidelines with support staff and Advisors.
  • Establishes account data within the reporting portal (Tamarac) and creation of reporting groups, household, client portals, manual accounts, and billing groups.
  • Enters account maintenance data on the Custodian, Reporting and CRM platforms.
  • Supports account billing processes, including pre-billing audit, fee generation, custodian report upload, and reconciliation.
  • Acts as the first-line point of contact for clients requiring basic technology guidance on both the Custodian and Reporting platforms. Must have strong communication skills.
  • Sets up data feeds for third party administrators as needed.
  • Works with Advisors and Fund Managers to track alternative investment values, cost basis, capital calls, and distribution notices.
  • Creates manual entries for Alternative Investments with a high degree of accuracy in the Reporting portal (Tamarac) to track performance.
  • Tracks transfer of assets from “contra” firms and acts as liaison between the client and the firm when additional information is needed.
  • Actively participate in projects related to current and future initiatives within the Operations Department.
  • Works with advisors and staff to resolve paperwork and compliance items Not in Good Order (NIGO).
  • Prepares agendas, materials, and facilitates team meetings. Meeting materials include scorecard tracking, pipeline management, In/Out flow tracking, client meeting reports, and AUM. Works with other team members to gather Cash Management Reports, upcoming compliance items, and client event updates.
