POSITION SUMMARY

This position will be responsible for assisting in a diversity of tasks including but not limited to internal and external communications and correspondence, facility bookings, supervision of front desk staff, filing and clerical support as related to the department, and other duties as determined by the Manager.
As this position involves a high level of interaction with the public and coordination with community stakeholders, this position must accurately disseminate and relay information from the community to the relevant Town personnel as needed. Expect that some evening and weekend obligations will be required.

REQUIREMENTS

  • Education: A two-year post-secondary diploma in Recreation, Community Services, or a related field, or an equivalent combination of education and experience.
  • Recreation Experience: Prior experience working in a municipal community recreation setting is highly desirable. A proven ability to both coordinate recreational facility bookings and to effectively lead staff to meet client expectations is a valuable asset.
  • Supervisory Skills: Demonstrated experience supervising staff, particularly in a recreation or community services environment. Strong leadership abilities to motivate and coordinate front-line staff while ensuring smooth operations at the Shift Community Recreation Centre.
  • Time Management & Organizational Skills: Excellent ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
  • Problem-Solving: Strong problem-solving abilities to handle facility issues, client needs, and staff challenges effectively and efficiently.
  • Technical Skills: Strong computer literacy, including proficiency in facility management software, Microsoft Office Suite, and other relevant tools.
  • Teamwork & Independence: Ability to work autonomously and as part of a team, collaborating effectively with colleagues and stakeholders.
  • Interpersonal Skills: Approachable with excellent communication skills to build positive relationships with staff, community members, and stakeholders.
  • Adaptability: Flexible and resourceful, able to thrive in a dynamic and changing environment.
  • Driver’s License: A valid Class 5 driver’s license is required.
Responsibilities
  • Assist with the organization, coordination, implementation, and evaluation of cultural, recreational, and social programs within the Town of Coaldale.
  • Supervise Customer Service Representatives at the Shift Community Recreation Centre, ensuring smooth front desk operations.
  • Collaborate with Recreation Operators to support in the daily operations of the Shift Community Recreation Centre, including troubleshooting facility issues and ensuring efficient service delivery.
  • Spearhead the coordination of facility bookings and allocation for the Town, with a particular focus on managing the growing demand at the Shift Community Recreation Centre.
  • Support the Community Services Coordinator and Manager with internal and external written promotional material for the Town.
  • Build and maintain relationships with key community stakeholders, helping to foster partnerships that benefit Town programs and initiatives.
  • Assist the Director in coordinating and renewing third-party agreements related to facility use and services.
  • Act as the primary information liaison for facility bookings and allocations, ensuring staff and the public are kept up-to-date on facility availability and policies.
  • Maintain and regularly update the community contact list and the community event calendar, and ensure timely updates to the Town’s website as needed.
  • Provide on-site community event coverage as required or directed.
  • Manage correspondence and follow-up tasks to ensure smooth communication with stakeholders and community members.
  • Perform all other duties as assigned.
