Job Summary: The Client Support Specialist at Reader Precision Solutions is responsible for providing foundational support to ensure a positive client experience. This role serves as the first point of contact for client inquiries, processes routine purchase orders, and maintains effective communication between clients and internal teams. By handling basic client interactions and ensuring accurate order management, the Client Support Specialist plays a critical role in building strong client relationships and supporting the overall success of the Client Relations team in a high-tech, precision-focused environment.

Essential Duties & Responsibilities include but are not limited to:

  • Client Communication:
  • Respond promptly and professionally to basic client inquiries via email and telephone.
  • Maintain clear and effective communication with clients to address their immediate needs or concerns.
  • Route complex client calls or inquiries to appropriate team members for resolution.
  • Order Management:
  • Process routine purchase orders (P.O.s) with precision, ensuring timely entry into the system.
  • Monitor the progress of client orders and shipments, coordinating with internal teams to align with client expectations.
  • Provide order updates to clients under the guidance of higher-tier team members.
  • Relationship Building:
  • Proactively engage with clients to check the status of orders and provide follow-ups on their inquiries.
  • Foster positive relationships by demonstrating reliability, responsiveness, and professionalism.
  • Learning & Development:
  • Shadow experienced Client Relations team members to gain a deeper understanding of the company’s products, services, and internal processes.
  • Participate in regular training programs to develop skills in the Enterprise Resource Planning (ERP) systems, product knowledge, and client communication.
  • Collaborate with internal teams to understand workflows, enabling more effective client support.
  • Administrative Support:
  • Maintain a well-structured email system, including organizing client communications into designated folders or categories to ensure quick and efficient access to important information.
  • Assist with preparing client-related reports and documentation as needed.

SKILLS & QUALIFICATIONS:

  • High school diploma or equivalent is required. Post-secondary education or relevant coursework is a plus.
  • Strong organizational and communication skills, with an ability to multitask in a fast-paced environment.
  • High attention to detail and a commitment to accuracy in order processing and communication.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with ERP systems is preferred, though training will be provided if necessary.
  • A positive attitude with an eagerness to learn and grow within the role.
  • Demonstrated reliability and professionalism in client interactions.
  • A team-oriented mindset with the ability to collaborate effectively across departments.
