JOB OPPORTUNITY - IN-PERSON CLINIC COORDINATOR - ASK PSYCHOTHERAPY HUB:

Are you an organized and detail-oriented professional looking to make a meaningful impact in the mental health field? Ask Psychotherapy Hub is seeking a dedicated Clinic Coordinator to support our growing psychotherapy clinic and help ensure a smooth and welcoming experience for clients and therapists alike.

JOB DESCRIPTION:

We are looking for a motivated, positive, grounded, and self-directed individual who brings office administrative experience and expertise from working in a medical clinic to the role. In this role, you will provide excellent customer service to the therapists and clients at Ask. You will also be a key administrative and operational support to the clinic’s daily activities, reporting to the clinic director. This role is ideal for someone who has previously worked in a medical clinic, proactive, and thrives in a environment.
The successful candidate has strong time management skills, is responsible and reliable. Your hours of work each week will mostly be consistent with some slight changes due to operational needs and changes that come up. They will be available to work Monday to Friday, 4-5 days a week, starting as early as 9:00am and ending as late as 9:00pm. This is a full time job and you would be expected to work 30-40 hours a week.
Location: In Person at Danforth Avenue (Steps away from Coxwell Station), in the East End of Toronto.
Type: Full-time 4-5 days per week, Monday to Friday.
Pay: 23-27$.

PROFESSIONAL QUALIFICATIONS AND PERSONAL ATTRIBUTES:

  • Previous administrative or office management experience (healthcare or mental health clinic experience an asset).
  • Minimum of 2 years experience in an in-person customer service role.
  • Minimum of 2 years experience in an administrative role.
  • Knowledge of PHIPA and handling of personal health information is an asset.
  • Experience with Jane App required.
  • Good attendance record with the ability to maintain that same standard.
  • Strong communication and interpersonal skills over email, phone and in-person.
  • A positive, thoughtful team player with a positive outlook on life.
  • Professional appearance and excellent attitude.
  • Ease working with minimal supervision, while taking the initiative to ask for guidance if needed.
  • Superior verbal and written communication skills (grammar, spelling, inclusive language, etiquette etc.)
  • Maturity in handling sensitive and confidential situations or information.
  • Comfortable switching gears at work.
  • Strong organizational and time management skills with attention to detail.
  • Excellent critical thinking skills with the ability to think independently and act proactively.
  • Is responsible and will adhere to the policies that govern our services and clinic.
  • Other duties not listed here may be assigned as necessary to ensure the proper operations of the clinic.

Responsibilities
  • Greet clients and manage front-desk reception duties, creating a welcoming and professional atmosphere.
  • Ensure reception area and waiting room are clean, beautiful and photo-ready at all times.
  • Support the clinic director with projects and communicate progress and completion.
  • Schedule and confirm client appointments using the Jane platform.
  • Handle email and phone communications with clients, therapists, and third-party providers.
  • Monitor and follow-up on scheduling errors.
  • Manage billing, payments, and insurance submissions.
  • Maintain accurate administrative records and ensure compliance with PHIPA confidentiality standards.
  • Support therapists with documentation and client onboarding processes.
  • Assist the clinic with organizing workshops, training sessions, and other clinic events.
  • Onboarding new therapists to the physical space.
  • Perform general office duties to ensure smooth daily operations.
