  • Calling new enquiries and prospective patients to discuss their needs and arrange consultations
  • Scheduling consultations, procedures and follow-up appointments
  • Managing clinicians’ diaries and coordinating clinic schedules
  • Providing secretarial and administrative support to consultants and the wider clinical team
  • Maintaining accurate patient records and administrative documentation
  • Collecting patient payments and supporting accurate payment administration
  • Communicating appointment, treatment and payment information clearly to patients
  • Coordinating with dermatologists, plastic surgeons and other healthcare professionals
  • Supporting patients throughout their journey with Apex Clinic
  • Following up enquiries and patients where appropriate
  • Helping ensure clinics run efficiently and on time
  • Supporting the management team with the day-to-day operation of the clinic
  • Assisting with the development of administrative systems and processes as the clinic grows
  • Taking on increasing operational and management responsibilities over time

Career Progression

A major part of this role is development. Our intention is for a successful Clinic Coordinator to develop towards becoming Clinic Manager within approximately 12 months.

During this period, you will gain exposure to areas including clinic operations, patient experience, team coordination, consultant relationships, commercial performance and the overall management of a growing private healthcare business.

Progression will depend on performance, capability and the growth requirements of the clinic.

Equity Incentive Opportunity

We want key members of our team to benefit from helping build Apex Clinic.

An equity-based incentive programme will be available for eligible high-performing team members, subject to the terms and eligibility requirements of the programme.

This creates an opportunity to participate in the longer-term success and growth of the business rather than viewing the position as simply another administrative role.

Who We’re Looking For

We are looking for someone who is:

  • Exceptionally organised and reliable
  • Confident and professional on the telephone
  • Comfortable speaking with prospective patients and converting enquiries into booked consultations
  • Warm, personable and focused on providing excellent customer service
  • Able to communicate professionally with consultants and senior clinicians
  • Comfortable handling payments and sensitive patient information
  • Able to manage multiple diaries, priorities and patient requests simultaneously
  • Proactive and willing to solve problems rather than waiting to be instructed
  • Commercially aware and interested in helping a growing clinic succeed
  • Ambitious and interested in progressing into management
  • Comfortable working in a fast-moving private healthcare environment

Previous experience in private healthcare, medical administration, patient coordination, dental practice, aesthetics, cosmetic surgery, dermatology, hospital administration or a similar customer-facing healthcare environment would be advantageous.

However, we are particularly interested in candidates with the right attitude, communication skills, organisation and ambition.
