REQUIRED SKILLS AND QUALIFICATIONS

  • Experience: Previous experience in a medical, allied health, or specialist clinic setting is highly regarded. Customer service experience is essential.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to clearly and compassionately interact with patients of all ages.
  • Organisational Skills: Proven ability to manage multiple tasks, prioritise effectively, and maintain attention to detail in a busy environment.
  • Technical Proficiency:Comfortable using medical practice software (e.g., Xestro, Genie), Microsoft Office, and EFTPOS systems. Familiarity with medical terminology is a plus.
Responsibilities

ABOUT THE ROLE

The Patient Services Coordinator is a central part of our team, responsible for facilitating communication between patients and healthcare providers, managing appointments, and ensuring a smooth, high-quality patient experience from initial contact to aftercare. This role is both patient-facing and administrative, requiring excellent organisational and interpersonal skills.

KEY RESPONSIBILITIES

  • Patient and Visitor Interaction:Serve as the first point of contact for patients and visitors, greet them warmly, answer enquiries, and provide clear information about available services.
  • Appointment Management:
  • Coordinate patient visits, treatments, and diagnostic tests; manage the appointment schedule to support efficient patient flow.
  • Record Maintenance: Maintain and update accurate patient records, ensuring full compliance with privacy and healthcare regulations.
  • Insurance Coordination: Assist patients with understanding their private health insurance and Medicare entitlements; process claims and handle billing enquiries professionally.
  • Administrative Support: Perform a variety of administrative tasks including answering phones, filing, scanning, and data entry to support the healthcare team. Any ad hoc administrative duties as directed by the Practice Manager.
  • Patient Advocacy: Respond to and resolve patient concerns or complaints promptly and empathetically, ensuring a positive experience throughout their care journey.
