Position Summary The Clinical Manager is the single point of accountability for all clinical staff performance, workflow standardization, and operational excellence across all ReVive locations. This role is responsible for ensuring that every clinic runs to the same standard every day, regardless of which provider or staff is on site. The Clinical Manager builds, trains, and holds accountable a team of Lead Medical Assistants who serve as site-level operational leaders, and drives measurable improvements in access, throughput, compliance, and patient experience. This is not a desk job. The Clinical Manager is expected to be physically present across clinic sites on a rotating basis, conducting direct observation, real-time coaching, and hands-on problem-solving. The role requires someone who is equally comfortable reviewing audit data, running a training session, and stepping in to help with patient flow during a high-volume day. Core Responsibilities 1. Clinical Staff Leadership and Accountability Directly supervise and manage all Medical Assistants, and X-Ray Techs across all locations Recruit, interview, hire, onboard, and orient new clinical staff using standardized onboarding programs Conduct structured performance evaluations (30/60/90-day checkpoints and annual reviews) with documented outcomes Own all corrective action processes: verbal coaching, written warnings, performance improvement plans, and terminations when necessary Build and maintain a rotating site visit schedule to ensure direct presence at each location at least weekly Hold weekly one-on-ones with each Lead MA to review site performance, staffing issues, and escalations Create and manage the clinical staff schedule across all locations, including PTO coverage, call-outs, and float assignments 2. Lead MA Program Oversight Serve as the direct supervisor of all Lead MAs, setting expectations, reviewing performance, and providing coaching Define and maintain the Lead MA scope of responsibilities, ensuring the role stays focused on daily operations without overstepping into Clinical Manager functions Establish a weekly reporting cadence with Lead MAs covering: daily task completion, compliance flags, staffing issues, and patient flow bottlenecks Ensure Lead MAs are executing opening and closing checklists, supply management, same-day schedule coverage, and real-time workflow troubleshooting Identify and develop Lead MAs for future growth opportunities within the organization 3. Workflow Standardization and SOP Enforcement Own the full SOP library for all clinical workflows: clinic prep, rooming, checkout, DME, EMG, opioid/UDS protocols, order routing, in-house dispensing, opening/closing procedures, and PI/MVA intake Conduct monthly SOP audits at each location using standardized audit tools, documenting findings and corrective actions Roll out new or updated SOPs with structured training, competency verification, and follow-up audits within 30 days Ensure consistency across sites so that any MA can work at any location and follow the same workflows Coordinate with the DPO on workflow changes tied to strategic initiatives (e.g., new provider onboarding, service line expansion, technology rollouts) 4. Compliance and Quality Ensure HIPAA compliance across all clinical areas, including chart handling, patient communications, and workstation security Maintain clinical supply par levels, manage vendor relationships for clinical supplies, and oversee equipment maintenance schedules Monitor and enforce athena documentation standards: chart completion within 24 hours, order entry compliance, and charge capture accuracy Oversee X-ray equipment compliance, QA logs, and technologist credentialing documentation Support credentialing and re-credentialing processes for clinical staff as required 5. Access, Throughput, and Performance Management Partner with the DPO to monitor and improve key clinical operations KPIs (see Success Metrics below) Identify and resolve patient flow bottlenecks through direct observation, data analysis, and staff feedback Ensure provider templates are fully utilized and that no-show/cancellation gaps are filled using same-day outreach protocols Track and report on staff productivity, including rooms turned per hour, patient wait times, and checkout completion rates Prepare weekly and monthly performance reports for the DPO with actionable insights and recommendations 6. Training and Development Own the clinical staff training calendar, including mandatory annual training, new hire orientation, and skills refreshers Develop and deliver training materials for new clinical workflows, technology changes, and compliance updates Maintain training records and competency documentation for all clinical staff Identify skill gaps through audits and observation and build targeted development plans Coordinate cross-training across locations to build a flexible, multi-site capable clinical team What Success Looks Like The Clinical Manager will be evaluated against the following measurable outcomes. These are not aspirational targets they are the performance standards for this role: Metric Target How Measured Chart completion within 24 hours ≥80% Athena audit, weekly Audit compliance (SOP adherence) ≥85% Monthly site audits Order entry compliance ≥90% athena reporting Missing charge slips ≤5% Weekly reconciliation Charge lag ≤48 hours Billing team reporting Staff 12-month retention rate ≥90% HR records, quarterly New hire time-to-productivity 90 days Checkpoint evaluations Clinic capacity utilization ≥18 patients/provider/day Scheduling data, weekly SOP training completion (new/updated) 100% within 30 days Training log review Lead MA weekly check-in completion 100% DPO spot checks Site visit cadence Each site 1x/week minimum Calendar/log verification Required Qualifications Minimum 3 years of experience managing clinical staff in a multi-site outpatient practice (orthopedics, sports medicine, or surgical specialty strongly preferred) Certified Medical Assistant (CMA, RMA, or CCMA), RN or Licensed Practical Nurse (LPN) with active certification Demonstrated experience building and enforcing clinical SOPs and training programs Proficiency with EHR systems (athena experience strongly preferred) Track record of managing staff across multiple physical locations with measurable performance outcomes Strong documentation and reporting skills; comfortable with data-driven performance management Ability to travel between all ReVive locations in the greater Atlanta metro area daily Preferred Qualifications Experience supervising or developing lead/senior MA roles Familiarity with orthopedic, spine, or pain management clinical workflows Experience with PACS systems, DME ordering (Empower), and in-house dispensing platforms (Trident) Bilingual (English/Spanish) is a plus Physical Requirements and Work Environment Ability to stand, walk, and move between clinical areas for extended periods Ability to travel to all ReVive clinic locations May require occasional assistance with patient transfers or clinical support during high-volume periods Standard clinical environment with exposure to medical equipment, supplies, and patient care areas Compensation and Benefits Competitive salary commensurate with experience.
