JOB SUMMARY – CLINIC ADMINISTRATOR (AHC WELLNESS CLINIC)

At AHC Wellness Clinic, we are dedicated to delivering professional, patient-centered care in a warm and efficient environment. We are currently seeking a Clinic Administrator to manage the daily administrative operations of our multidisciplinary wellness clinic. This key position ensures smooth front desk operations, supports both patients and practitioners, and plays a vital role in enhancing the overall patient experience. The ideal candidate is organized, tech-savvy, detail-oriented, and passionate about healthcare service excellence.

QUALIFICATIONS

  • Prior experience in a front desk or administrative role within a healthcare or wellness setting is an asset.
  • Familiarity with direct billing platforms (e.g., Telus Health, Provider Connect) and insurance claim procedures.
  • Proficiency with Google Workspace and appointment management systems (e.g., Jane App).
  • Exceptional organization and multitasking skills, with a high level of accuracy and attention to detail.
  • Strong communication and customer service skills with a compassionate and professional demeanor.
  • Ability to maintain confidentiality and uphold privacy standards in line with PHIPA/HIPAA.
  • Comfortable working in a fast-paced clinic environment with multiple providers and patients.

Responsibilities
  • Welcome and check in patients, providing a professional and friendly first point of contact.
  • Handle patient inquiries bothin personand over the phone, and manage appointment scheduling using Jane App.
  • Assist patients with direct billing and insurance claims submission through Telus Health and other portals.
  • Process patient payments, issue receipts, and reconcile daily transactions accurately.
  • Maintain and update patient records in accordance with healthcare privacy regulations.
  • Coordinate communication between patients and practitioners to ensure a seamless care experience.
  • Perform general administrative tasks such as data entry, document proofreading, and email correspondence.
  • Maintain clinic organization and cleanliness to support an efficient, welcoming environment.
  • Use Google Workspace (Docs, Sheets, Calendar) for internal scheduling and team coordination.
  • Support the onboarding and training of new front desk team members.
