Clinical Administrative Concierge Reports to: Clinical Operations Manager Shift: Monday through Thursday 9 a.m. - 6 p.m., Friday 9 a.m. - 12 p.m. Job Summary: This position blends high-level administrative tasks with a client-centric, concierge-style service in a private outpatient behavioral healthcare setting.  Our Clinical Administrative Concierge will have strong customer service skills to ensure positive client experience and active engagement with our clinicians while maintaining our company’s high standard of care. Importance of Role * Enhances client experience: The "concierge" aspect focuses on providing exceptional service and convenience for clients. * Improves operational efficiency: The administrative and project management side of the role focuses on creating a more efficient and cohesive workplace between the clinical and administrative departments. * Supports clinical staff by handling administrative and operational tasks to allow clinicians more time to focus on client care. Key responsibilities * Acts as the initial and primary point of contact for clients, families, and visitors, providing a high level of customer service. * Responds to all inquiries for services by completing an intake or providing external referrals.   * Clinical support: manage communication between clients and clinicians.  Ensures client paperwork is complete; appointments are scheduled/rescheduled, and phone calls are returned promptly.   * Assist clients in ensuring that all required paperwork and insurance information is obtained prior to service delivery * Health insurance: Processing insurance eligibility, processing claims, and following up on outstanding claims. * Accounts receivable: Managing and tracking outstanding balances owed by clients – creating and disseminating statements to clients. * Project and operational management: Initiates or assists the Clinical Operations Manager in leading projects, identifies opportunities for operational improvements, and helps enhance department efficiency and cohesion. * Liaison and coordination: Serves as a liaison between different departments and helps coordinate policy evaluation and implementation. * Communication and reporting: Communicates directly with clients, clinicians, and other employees within the company.  Ensures that communication is clear, concise, and understood by all parties, and that all inquiries are researched and resolved, if possible. * Updates and maintains a referral network for clients requiring services outside of our practice. * Other duties as assigned   Key Competencies: Empathy / Customer Service   Customer-focused behavior; Helping approach, including listening skills, patience, respect, and empathy for another's position  Communication Skills   Excellent communication skills, in both verbal and written form, and capable of explaining complex issues clearly; Ability to de-escalate situations and deliver excellent customer service under pressure  Organizational Skills   Ability to organize people or tasks, adjust to priorities and learn systems within time constraints and with available resources; Detail-oriented  Problem Solving / Analysis   Ability to solve problems through systematic analysis of processes with sound judgment; Has a realistic understanding of relevant issues. Technical Skills   Proficient data entry skills; Ability to resolve problems involving more complex concepts, policies, and procedures while maintaining attention to detail to support accurate record keeping, scheduling, and invoicing. Information Management   Ability to manage large amounts of complex information easily, communicate it clearly, and draw sound conclusions  Computer Literacy   Ability to function in a multi-system Microsoft environment using Word, Outlook, Electronic Health Record systems, the internet, and other departmental software applications    Education and Experience: Required: * High school diploma or GED * 3+ years’ experience delivering customer service in a behavioral healthcare setting * Requires technical proficiency in EHR’s and Microsoft Office products * Experience with medical terminology, HIPAA compliance, and healthcare concepts * Excellent verbal and written communication skills Preferred: * College degree in a related field   Working Conditions: * Works in a standard office environment with extensive computer work and prolonged sitting time * Shift time: Monday through Thursday 9 a.m. - 6 p.m., Friday 9 a.m. - 12 p.m.   ** This job description indicates the general nature and levels of work expected of the incumbent.
