We are seeking an organised, proactive and compassionate Clinical Administrator/Practice coordinator to become a key member of our team.

This is an excellent opportunity for an administrator who wants to work in the mental health field and enjoys working with people, managing multiple priorities and ensuring that clients receive a professional and supportive experience from their first enquiry through to the completion of their care pathway.

You may currently work as a Healthcare Administrator, Clinical Administrator, Medical Receptionist, Practice Administrator, Secretary, Legal Secretary, Team Administrator or Office Administrator and be looking for a flexible role within a supportive, professional environment.

What You'll Be Doing

As the central coordination point for our practice, you will:

  • Be the first point of contact for clients, families, referrers and clinicians via telephone, email and in person.
  • Manage enquiries and referrals with professionalism, empathy and efficiency.
  • Coordinate appointments for therapy, specialist assessments and consultancy services.
  • Manage clinician diaries and scheduling.
  • Maintain accurate and confidential client records and administrative systems.
  • Support the secure preparation and distribution of clinical reports and correspondence.
  • Monitor referral and service activity data.
  • Assist with the ongoing development and improvement of administrative systems and processes.
  • Support the use of Microsoft 365 and other digital tools to enhance service delivery.

What We're Looking For

  • Excellent organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and competing priorities.
  • High levels of accuracy and attention to detail.

  • Strong commitment to confidentiality and data protection.
  • Good working knowledge of Microsoft Office and Microsoft 365 applications.
  • Experience working in a client-facing role.
  • A strong commitment to promoting the wellbeing of others through ensuring a positive and professional patient experience.

Desirable

  • Experience within healthcare, psychology, mental health, education, legal services or another confidential professional environment.
  • Experience using appointment booking systems and electronic records systems.
  • Familiarity with Microsoft Forms, Bookings and other business productivity tools.
  • An interest in psychology, neurodiversity and mental health.
