About the Role

As our Patient Experience Coordinator, you are the welcoming face and reassuring voice of Mind's Eye.


You help patients feel comfortable, informed, and supported throughout every step of their journey.

Working alongside our Office Manager and doctors, you'll ensure the clinic runs smoothly while delivering an exceptional experience for every patient and family who walks through our doors.


Responsibilities

  • Welcome patients with warmth and professionalism
  • Answer phones and respond to patient inquiries
  • Schedule appointments and manage provider calendars
  • Coordinate patient recalls and follow-up appointments
  • Confirm appointments and maintain an efficient schedule
  • Process patient registrations and update electronic records
  • Assist with insurance and third-party billing when applicable
  • Collect payments and maintain accurate financial records
  • Prepare charts and documentation before appointments
  • Coordinate referrals and communicate with other healthcare providers
  • Maintain a clean, welcoming front reception area
  • Support the clinical team with administrative tasks
  • Help ensure every patient receives an exceptional experience


Qualifications

Required:

  • Previous experience working in an optometry clinic or other healthcare office
  • Excellent customer service skills
  • Strong organizational abilities and attention to detail
  • Professional communication skills
  • Comfortable working with multiple priorities
  • Experience using electronic medical records (EMR)
  • Strong computer skills
  • Positive attitude with a genuine desire to help others


Assets:

  • Knowledge of optometric terminology
  • Experience with insurance claims and billing
  • Familiarity with visual field testing, OCT or diagnostic imaging workflows
  • Experience with scheduling software
  • Bilingual (an asset)
