Description
The Clinical Clerkship Coordinator supports the administration and operations of the third- and fourth year clinical education program for KYCOM medical students. This position coordinates clinical rotation scheduling, monitors student academic progress, supports national board exam administration, and serves as a primary liaison between students, clinical sites, adjunct faculty, and the Office of Clinical Affairs to ensure compliance with institutional and accreditation standards. Responsibilities: Clinical Rotation Administration • Schedule and manage clinical rotations within the Medtrics system • Process student requests for away rotations, including VSLO/VSAS applications • Coordinate rotation logistics with clinical sites and site coordinators • Track rotation completion and student progress toward graduation • Serve as a liaison between KYCOM, clinical site coordinators, and adjunct faculty to facilitate scheduling, communication, and resolution of rotation-related issues. Student Academic Monitoring • Monitor student performance in clinical rotations and identify potential academic concerns • Track and review student rotation logs and evaluations • Maintain records of student grades and academic progress • Communicate concerns to the Director of Clinical Rotations • Compile and provide reports related to student clinical performance, evaluations, and rotation completion for the Director of Clinical Rotations and Clinical Affairs leadership. • Ensure clinical rotation documentation, student evaluations, and academic tracking in Medtrics comply with COCA accreditation standards and KYCOM clinical education policies. Examination Coordination • Coordinate scheduling of COMAT examinations for students • Provide remote or in-person proctoring of COMAT exams as needed • Track student performance on national board exams Administrative and Program Support • Enter and maintain student evaluation records in Medtrics • Submit student grades to the Registrar’s Office • Assist with clinical education events such as Capstone and the Clinical Rotations Fair • Meet with students as needed regarding rotation progress • Support other activities of the Clinical Affairs office as assigned Skills/Abilities: • Must have excellent verbal and written communication skills. • Must have good interpersonal and communication skills to assist faculty, adjunct faculty, staff, and students. • Must understand and maintain confidentiality in compliance with FERPA and, if applicable, HIPAA. • Must have excellent computer skills with efficient knowledge of Microsoft Word, Excel, Outlook, PowerPoint, web browsers and Google Docs/Sheets. • Must have excellent time management and organizational skills. • Must have the ability to multitask, prioritize assignments, and meet deadlines. • Must be able to work independently and also as a member of a team. Qualifications/Education & Experience: • A minimum of an Associate's or Bachelor's Degree is Preferred. • 1-3 years of experience in a formal education department, business, or professional office is preferred.
