Overview The Department of Clinical Education at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding Clinical Education Coordinator to join the team. Collaborate with the Pediatric Medicine clinical education program leadership and faculty to plan, organize, administer, implement, and develop the Pediatric Medicine Clerkship and to manage Clinical Education Electives, which are required courses for all EVMS medical students. This position requires an initiative-taking ability to strategically assess and manage the operational components of a clinical rotation. Responsibilities Manage medical student placement and scheduling across multiple sites and different clinical subspecialties, including the assignment of clinical preceptors, coordination of didactics to optimize learning opportunities, and data entry to maintain documentation of clinical placements to support the monitoring of appropriate clinical supervision, site onboarding requirements, and clinical evaluation assignments. Maintain open and timely communication with medical students, clinical faculty, hospital staff, and clinical education program leadership in adherence to FERPA guidelines to facilitate a smooth clinical experience. Facilitate communication, training, and ongoing support to preceptors and medical students to understand clinical education program policies and expectations, and to advocate for student learning needs. Monitor clinical rotation feedback for quality and compliance with accreditation standards, assisting with addressing any concerns related to student learning. Collaborate with clinical education leadership and faculty to implement quality improvement initiatives within the clinical education program to enhance student outcomes. Monitor completion of clinical education preceptor clinical evaluations of each student. Coordinate with preceptors as needed to achieve timely completion of evaluations. Develop and maintain the learning management system (LMS) and resource scheduling. Gather, manage, and report large amounts of data accurately using electronic systems, ensuring all information is correct. Identify opportunities for improving clinical year processes, offering suggestions, and notifying of all concerns. Ensure adherence to all EVMS policies and procedures, maintaining a high standard of professional conduct, and ethical behavior at all times. Provide other support for program development as directed by Clinical Education program leadership. Assist with the administration of NBME Subject exams in compliance with EVMS and NBME testing regulations. Qualifications Minimum Qualifications and Skills: Strong Written Communication and Attention to Detail: Proficiency in composing and editing communication with internal and external stakeholders. Rapport Building: Ability to develop and maintain effective relationships with public, partners, customers, and co-workers, while working cooperatively and effectively with others to achieve common goals. Stakeholder Collaboration and Interpersonal Skills: Skilled in working with diverse groups, including students, faculty, and administration, to collect feedback and ensure clear communication of updates and processes. Ability to address others in a direct honest manner. Time Management and Organizational Skills: Competence in managing multiple tasks, meeting deadlines, and keeping stakeholders informed of progress throughout the process. Meets attendance/punctuality requirements. Flexibility and Initiative: Ability to adapt to changing work environments, work priorities, and organizational needs. Takes independent action to address and resolve problems. Communication Skills: Ability to expresses ideas effectively and demonstrate sound judgment regarding decision-making. Technology: Must have appropriate computer skills including Microsoft Word, Excel, PowerPoint, and Outlook. Must have proficiency in using educational technology, scheduling software, and database management. Must be self-motivated, able to set goals and distinguish priorities. Must be able to multi-task and collaborate with team members. Preferred Qualifications: Skills in online course management and evaluation management systems preferred but not required.
