About This Role Sacramento Ultrasound Institute is looking for a highly detail-oriented Clinical Onboarding & Compliance Coordinator to serve as the primary person responsible for verifying student vaccination records, managing hospital onboarding requirements, and ensuring every student meets clinical site compliance standards before placement. This is not a general admin role. You will own the entire compliance verification process end-to-end. This is a fully on-site position based in Sacramento, CA. Local candidates only. You must be able to reliably commute to our Sacramento campus daily. What You Will Own Vaccination & Immunization Verification Review and verify all student immunization records (MMR, Varicella, Hepatitis B, Tdap, TB/PPD, flu, COVID) against clinical site requirements Identify discrepancies between submitted records and site-specific requirements — titers vs. vaccination dates, missing boosters, expired results Follow up directly with students on incomplete or non-compliant records until every item is resolved Maintain a real-time tracker of vaccination compliance status for every active student Hospital & Clinical Site Onboarding Manage the full onboarding process for each clinical partner site, including site-specific document packets Coordinate CastleBranch compliance items: background checks, drug screenings, CPR/BLS certification, HIPAA training, OSHA training, and any site-specific requirements Track each student’s progress against onboarding checklists and escalate stalled items before deadlines Serve as the primary point of contact between SUI and clinical sites for onboarding documentation Ensure all student files are audit-ready at all times Administrative & Communication Send clear, professional communications to students regarding missing, expired, or non-compliant items Maintain organized digital records - every document filed, labeled, and easily retrievable Generate compliance status reports for program leadership on a weekly basis Collaborate with clinical partners when requirements change or new items are added Respond to all student and site inquiries within one business day Minimum Requirements (All Required) Associate’s degree or higher (or equivalent professional experience in compliance, onboarding, or healthcare administration) Minimum 1 year of experience in an administrative role involving document verification, compliance tracking, or onboarding coordination Proven track record of accuracy and attention to detail in a documentation-heavy role - provide specific examples Strong proficiency with spreadsheets, document management, and email (you will be managing multiple trackers simultaneously) Excellent written communication skills - your follow-up emails need to be clear, professional, and actionable Ability to manage multiple students and deadlines simultaneously without items falling through the cracks Must reside in the Sacramento metropolitan area and be able to commute to campus daily Reliable transportation and consistent attendance Preferred Qualifications Background in healthcare, healthcare education, clinical coordination, or student services Familiarity with hospital credentialing or clinical site onboarding processes Experience verifying vaccination records or medical compliance documents Knowledge of HIPAA, OSHA, and BLS/CPR certification requirements Location Sacramento, California Employment Type Full-Time Minimum Experience Mid-level Compensation $20-24 Hourly
