Position Summary The Clinical Operations Specialist plans, directs, or coordinates the daily clinical operations in the practice, while ensuring adherence to established clinical policies, protocols, regulations, and standards. Position Duties and Responsibilities: The essential functions include, but are not limited to the following: Clinical Operations · Responsible for all clinical operations in current and future practice locations, manage daily clinical operations, ensuring that services are delivered efficiently and effectively and in compliance with clinical protocols · Manage and track necessary clinical supply inventories, ensuring the necessary material are stocked and available · Follow implemented procedures for ordering additional supplies and instruments, coordinating directly with suppliers · Maintain and manage relationships with vendors and service providers to ensure access to necessary supplies and services · Regularly review inventory levels of medication to identify which drugs need ordered and stocked throughout the various offices · Facilitate meetings to share best practices, optimize workflows, remove barriers, resolve opportunities and increase referral for local offices · Ensure that all clinical equipment is properly maintained, serviced, and compliant with safety standards · Work in coordination with other departments to ensure effective and efficient operations in each office. · Perform limited clinical duties under the direction of the Surgeon, to include equipment preparation and sterilization, preparing patients for treatment, assisting the surgeon during procedures, and providing patients with instructions. · When not directly assisting with surgical procedure, circulate the operatory to assure all patient needs and documentation requirements are met · Assists surgeon in utilizing specialized equipment i.e. Trios Training · Plan, direct, and/or coordinate clinical training, ensuring clinical staff are properly trained and competent to perform their duties · Access training needs of the clinical staff, identifying areas for improvement, and staying informed about new technologies · Train new employees within the clinical department to include in-person training, online courses, workshops, and certifications · Provide feedback and support to the clinical staff throughout the training process, offering guidance, encouragement, and corrective feedback as necessary. · Promote a culture of learning within the clinical team by encouraging staff to pursue ongoing education and professional development opportunities · Complete clinical in-service/training opportunities when available Management · Oversee operations of clinical staff to ensure compliance with clinical protocols and the delivery of high-quality treatment and patient care · Monitor and evaluate the performance of practice processes and procedures· Identify opportunities for improvements and areas of potential collaboration · Work closely and in a collaborative manner to manage and drive process improvement initiatives with surgeons and practice employee · Facilitate meeting to share best practices, optimize work flows, remove barriers, resolve opportunities and increase referrals for local offices · Respond to clinical inquiries from surgeons and practices in a timely and professional manner · Perform personnel functions, such as selection, training, and evaluation · Manage and track necessary clinical supply inventories, maintenance of equipment, and follow implemented procedures for ordering additional supplies, instruments, etc. · Work in coordination with other departments to ensure effective and efficient operations in each office · Travel to different office locations as needed Compliance · Ensure regulatory compliance with relevant laws and regulations (OSHA/DHEC) and employee requirements are maintained · Stay updated on all current clinical guidelines and ensure staff follows them in accordance with standards · Ensure staff receive the proper training and education on compliance requirements, including HIPPA, infection control and other relevant topics · Participate in quality improvement initiatives to ensure patient care meets or exceed standards. This includes monitoring clinical outcomes, patient satisfaction, and adherence to best practices. · Ensure proper documentation and patient records are accurate, complete, and secure. · Prepare for and/or participate in office/clinical inspections Requirements Qualifications The practice will expect that an applicant to the Clinical Operations Specialist position has the following qualifications to ensure success: Preferred: · Radiation Safety Certification · Nitrous Certification · IV Insertion Training · DAANCE Certification Required · BLS Certification · A valid Driver’s License · Excellent communication skills, both verbal and written · Completed Dental Program or comparable experience · High School diploma or equivalent degree and certificate · Understand the key components of appropriate patient-oriented customer service · Self-motivated and require minimal supervision · Ability to utilized office software (PMS Software) · Microsoft skills to include Excel, Word, Outlook, and PowerPoint Working Conditions Employee will work in close proximity to other staff members in an office and surgical setting – often there is heavy background noise. If covering as a dental assistant, employee may be exposed to blood borne pathogens.
