JOB OVERVIEW

The Clinical Research Recruitment & Medical Support Specialist serves in a hybrid role, combining responsibilities as a Clinical Trial Recruiter for American Research Corporation (ARC) and as a Medical Assistant/Chart Prepper within Texas Liver Consultants (TLC). This role supports both research and clinical operations by recruiting and engaging patients for clinical trials while ensuring accurate and timely preparation of medical charts and assistance during clinic visits. The goal is to enhance patient care, streamline trial recruitment, and ensure seamless integration between clinical and research teams.

Experience and Education:

  • Certified Medical Assistant (required).
  • Minimum of 1 year experience in a clinical or medical assistant role (required).
  • Prior experience in patient recruitment or clinical research preferred.
  • Bachelor’s degree in health sciences or related field preferred.

Responsibilities

PATIENT RECRUITMENT & LIAISON DUTIES (ARC):

  • Recruit, pre-screen, and interview prospective subjects for current and upcoming clinical studies through in-person visits, phone calls, referrals, and outreach efforts.
  • Pre-identify potential study candidates from provider schedules, electronic databases, and referral pipelines.
  • Assist TLC providers and clinical staff by presenting relevant clinical trial opportunities to their patients during clinic visits, ensuring providers and patients are well-informed of ongoing studies.
  • Communicate study details clearly and effectively to potential participants to foster understanding of research protocols, procedures, and expectations.
  • Maintain accurate and timely records of all patient outreach, communications, and recruitment activities, ensuring logs and databases are consistently updated.
  • Enter new subjects into the centralized database from clinic visits, physician and self-referrals, community events, internet inquiries, and phone contacts.
  • Coordinate closely with clinical research coordinators, schedulers, and provider teams to arrange screening visits and ensure a smooth transition from pre-screening to enrollment.
  • Generate daily subject lists for TLC providers to aid in identifying eligible patients during clinic.
  • Provide weekly updates to management regarding screening, enrollment, and overall recruitment status.
  • Represent ARC in community outreach activities, marketing events, or health fairs to promote clinical trial participation and build awareness.
  • Serve as a resource to the organization in identifying and resolving operational issues that impact the quality or efficiency of patient recruitment.
  • Adhere to FDA, GCP, and ICH guidelines in all patient-facing and documentation activities, ensuring compliance and integrity of clinical research processes.

MEDICAL ASSISTANT & CHART PREPPER DUTIES (TLC):

  • Escort patients from the waiting room to exam rooms, ensuring comfort and professionalism throughout the process.
  • Obtain and accurately document patient vital signs, medical histories, chief complaints, and current medications into the EMR (EPIC).
  • Prepare patient charts in advance of clinic visits by gathering records from outside facilities, confirming accuracy of information, and ensuring all documentation is complete and organized.
  • Assist providers during examinations, procedures, or diagnostic testing by preparing necessary supplies and providing direct clinical support.
  • Place patient orders, assist with referrals, and ensure timely scheduling of follow-up visits and procedures (including ultrasounds, FibroScan, or labs) as directed by the provider.
  • Deliver patient education, after-visit summaries, and follow-up instructions with clarity and professionalism, ensuring patient understanding.
  • Handle patient calls by triaging questions, providing results or follow-up instructions, and documenting all communications in the EMR.
  • Ensure medical equipment and supplies are maintained, restocked, and in proper working order.
  • Perform documentation management, including scanning, filing, and updating records into the patient chart accurately and within required timeframes.
  • Coordinate specialty care referrals with external clinics, track referrals, and ensure follow-up responses are obtained and documented.
  • Demonstrate flexibility by supporting both front- and back-office operations as needed to optimize patient flow and clinical efficiency.
