Responsibilities

ABOUT THE ROLE

We are hiring a Clinical Support Coordinator with flexible availability to join our growing administrative team. The incumbent will play a key role in supporting clinic operations, enhancing client intake, and maintaining retention systems. This role is an excellent opportunity for psychology students or university students who are eager to gain meaningful experience in a mental health setting.
The ideal candidate will bring enthusiasm, reliability, and a genuine interest in client-centered care. While previous experience in a mental health or healthcare environment is an asset, we also welcome applicants who are looking to build practical skills and grow their knowledge in the field.

This is a performance-based role with the potential to transition to a full-time position based on the successful achievement of key performance indicators (KPIs), including:

  • Conversion of new leads after free consultations and therapist matching
  • Timely follow-up with prospective, current, and past clients
  • Strong retention rates through exceptional phone communication and responsiveness

KEY RESPONSIBILITIES

  • Manage new client intake, therapist matching, and consultation follow-ups
  • Follow up with prospective clients to increase service uptake and conversions
  • Schedule appointments, manage calendars, and monitor cancellations
  • Maintain accurate and confidential client records using Jane
  • Handle billing, invoicing, and insurance claim coordination
  • Respond to client emails and phone inquiries with professionalism and empathy
  • Support the Lead Administrator and Clinical Director with additional administrative tasks as needed
