Key Responsibilities Ordering clinical supplies and maintaining sufficient stock levels Ensure correct stock ordering for patient specific dressings and prescription coordination for planned LARC Clinic and Ring Pessary changes. Cold Chain audit management with support from the Cold Chain Lead Liaising with Child Health for the planning and booking of vaccinations as per the vaccine schedule, including appointments, reminders and follow up of clinic (did not attend/refusals). Manging the rotation and storage organisation of vaccinations and medicines whilst liaising with the Practice Manager and nurses for the ordering of vaccination supplies Managing patient waiting lists for medical investigations and procedures and booking appointments with patients directly over the telephone Organising the upkeep, servicing and calibration of medical equipment through third parties Management and booking of patients into planned clinics Recalling of patients via invitation to attend planned clinics (baby clinic, routine vaccinations) Filing of information as necessary Other Responsibilities Personal Professional Development The post-holder will participate in any training programme implemented by the Practice as part of this employment, such training to include: Participation in an annual performance review, including taking responsibility for maintaining a record of own personal and/or professional development Assume responsibility for ensuring mandatory training is completed in a timely manner Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work Support the development of others to maximise potential Actively promote the workplace as a learning environment, encouraging everyone to learn from each other and from external good practice Participate in implementing change Contribute and participate in the development of local guidelines, protocols and standards Participate in the engagement of practice-based commissioning or similar initiatives Keep up to date with new developments locally and nationally identifying those that will enhance the teams work Prioritise own workload and ensure effective time-management strategies are embedded in own practice Communication The post-holder should recognise the importance of effective communication within the team and will strive to: Communicate effectively with other team members, patients and external stakeholders Utilise and demonstrate sensitive communication styles, to ensure patients are consented and remain fully informed Communicate effectively with patients and carers, recognising the need for alternative methods of communication to overcome different levels of understanding, cultural background and preferred ways of communicating Anticipate barriers to communication and take action to improve communication Act as an advocate when representing the patients and colleagues viewpoints to others Teamwork Understand own role and scope in the organisation and identify how this may develop over time Work as an effective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working Delegate clearly and appropriately, adopting the principles of safe practice and assessment of competence of those taking on delegated duties and accept delegation from others colleagues Provide feedback in an appropriate manner that enhances an open and accepting learning culture Work effectively with others to clearly define values, direction and policies impacting upon care delivery Participate in team activities that create opportunities to improve patient care Participate in and support local projects as agreed with the practice management team Administration and Information Management To work in accordance with Practice Policies and Standards Operating Procedures and maintain awareness of updates Understand and utilise workflow pathways such as practice email, intranet and clinical systems Use technology as an aid to management in planning, implementation and monitoring, presenting and communicating information Ensure accurate recording of information and data, including Read codes where appropriate. Understand and adhere to principals of Freedom of Information Act, Data Protection and General Data Protection Regulation.
Management of Risk Manage and assess risk within the areas of responsibility, ensuring adequate measures are in place to protect staff and patients Safeguard children and vulnerable adults including statutory child health procedures and local guidance Monitor work areas and practices to ensure they are safe and free from hazards and conform to health, safety and security legislation, policies, procedures and guidelines Ensure safe storage, rotation and disposal of vaccines and drugs is undertaken. Where appropriate, oversee the monitoring, stock control and documentation of controlled drug usage according to legal requirements Apply infection control measures within the practice according to local and national guidelines Equality and Diversity The post-holder will support the equality, diversity and rights of patients, carers and colleagues to include: Acting in a way that recognises the importance of peoples rights, interpreting them in a way that is consistent with practice procedures and policies, and current legislation. Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks. Making effective use of training to update knowledge skills.
