· Previous administrative experience
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

Responsibilities
  1. Providing a comprehensive secretarial and administrative service within the administration team to support the Administration Team Manager, Clinical Lead, Service Lead, Senior Dental Officers and their associated clinical staff as well as non-clinical CDS staff.
  2. Working to deadlines for processing of information, including clinical letters, reports, referrals, booking of patient/survey/screening appointments and processing of paperwork for general anaesthetic/survey/screening sessions. Following all relevant operational policies, procedures and work practices, to ensure an accurate and high-quality service to all users. To include data protection and confidentiality, sourcing any relating information that may help deal with the query, taking accurate written messages and passing more complex queries on to relevant staff.
  3. To ensure that confidential and secure records management systems are in place and adhered to. Assist in the locating of patient records using the appropriate technologies, administration procedures and following Trust guidelines.
  4. To assist in the planning and execution of work arising in relation to community dental activities as requested by Administration Team Manager, Clinical Lead and Service Lead, to help resolve problems that may occur within the administration support service provided. To accept advice and direction from the Administration Team Manager and members of the Community Dental Service team. To provide cover for colleagues during absence and to monitor workload to provide support when required in conjunction with line manager. To support new members of staff and explaining routine admin procedures
  5. To prioritise own workload to complete tasks to deadlines whilst being flexible to accommodate the needs of the service. Ability to work within a busy or quiet office environment, prioritising different activities whilst maintaining accuracy.
